Executive Assistant to 2 Directors
Our client, a diversified global media corporation and a leader in television production and distribution, is looking for a fantastic senior level Executive Assistant to join their busy firm. This role is supporting the Head of Global Casting and the Head of Digital.
The Role:
The successful candidate will be a highly skilled administrative professional who will provide a wide range of support services to the both Heads of Department. This person will work hand-in-hand with the sales, operations, administration and contracts' teams globally.
The EA's key responsibility will be to make the 2 Directors job easier by taking on his administrative duties, allowing them to focus on strategy and decision making.
Key duties:
* Manage diaries, organise meetings and prepare meeting notes.
* Organise and attend regular conference calls, take notes and circulate action points as required.
* Liaise with all levels of internal management on the Directors' behalf, screen calls and prioritise meetings.
* Internationally speaking with contributors.
* Research.
* Organise all aspects of travel, i.e. book flights, connections and accommodation, organise visas and cash advances, prepare detailed itineraries.
* Prepare expense reports for both cash and credit cards. Ensure all supporting documents are provided to the finance department and liaise with them on queries on same.
* Assist in the preparation of annual travel and open budgets.
* Liaise with the HR department on the behalf of the Directors'; this will involve handling highly confidential information.
* Keep an organised filing system.
* Other ad hoc duties.
Knowledge and Experience:
The successful candidate will have:
* At least three, but ideally five, years' experience as an Executive Assistant.
* At least three years' experience working with Microsoft Word, PowerPoint, Outlook and Excel.
* Experience in booking travel.
* Experience dealing with C-Suite executives and clients.
The following experience would be beneficial:
* Knowledge of the TV production / distribution industry
* Familiarity with CRM software

* A team player, who is flexible and adaptable. May need to be contactable out of normal office hours if CEO is travelling and requires support.
* Committed and enthusiastic, confident and outgoing and not afraid of challenge
* Must have the ability to communicate effectively and tactfully with persons on all levels, in person and on the telephone.
* Must have the ability to pay close attention to detail and understand written and oral instructions.
* Excellent time management
Education/Qualifications
* Ideally educated to A Level standard.
