EXECUTIVE ASSISTANT
Position Summary:
Provides executive secretarial support to the Chief Executive Officer.
Job Specific Duties:
- Takes initiative to prepare reports and other supporting documentation when preparing for meetings/presentations.
- On a regular basis, written communication is clear and concise to both internal and external customers and fellow employees.
- Maintains and protects issues of privacy and is seen as a role model for others in maintaining confidentiality.
- Assists with external functions/groups as directed by the President.
- Always assists other management staff with secretarial functions when needed.
- Always assists patients/visitors’ with complaints, providing follow up to ensure resolutions are provided in a timely manner.
- Anticipates potential crisis and reprioritizes workload.
- Develops protocols, policies, and competency verification process.
- Coordinates travel arrangements for the President and Board of Directors. Prepares travel advance and expense reports.
- Coordinates schedules. Arranges meetings and appointments.
- Maintains calendar.
- Coordinates social functions for Administration, Board of Directors, and Medical Staff e.g. business dinners, holiday gatherings, retreats.
- Schedules and maintains calendars of appointments and meetings assuring attendance to necessary meetings and including directions to place of meeting.
- Pays close attention to detail and assures preparation prior to functions are taken care of e.g. speakers, audiovisual equipment, travel arrangements, deposits and expense reports, and related materials are distributed prior to the function.
