Executive Assistant to the Executive Chairman & President recruitment
EA Office of the Executive Chairman President:
An Executive Assistant will provide professional administrative support to the Executive Chairman President. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision.
- Manage workflow by prioritizing meetings, emails, and phone calls
- Schedule internal and external meetings, including initial set-up, catering, AV support, teleconferencing, videoconferencing, follow up during and after meetings
- Screen phone calls and emails in a professional manner, and direct them to the appropriate resource when necessary
- Assist in arrangement of domestic and international travel, and ensure all travel preferences and requests are met; track logistics during trips
- Assist in preparation of monthly expense reports
- Provide back up support to the Executive Reception Desk, including greet VIP visitors, direct guests to the appropriate executive meeting space, provide phone support to the Office of the CEO and the COO
- Utilize meeting scheduling system to reserve Executive Conference Rooms and monitor Executive floor traffic
- Assist with various tasks contributing to the efficiency and productivity to the department such as order office supplies, filter mail, and update contacts
- Serve as liaison to other departments in the resolution of day to day administrative operational matters
Requirements:
- 3-5 years experience providing highly professional administrative support to senior executives
- Strong verbal and written communication skills
- Business and personal maturity to manage confidential information appropriately
- High school diploma is a minimum requirement. Bachelor’s degree strongly preferred.
- Must be flexible with start and end time when necessary
