Executive Assistant to the President

Anna Maria College is seeking a highly self-motivated, dedicated, and polished professional for the position of Executive Assistant to the President. Reporting to the President and a member of the Senior Staff, the Executive Assistant performs a variety of professional administrative duties and oversees the day-to-day operations of the Executive Office. Responsibilities include, but are not limited to:
- Assumes primary responsibility for providing operational and administrative support to the President. Organizes and tracks all assignments and deadlines for the Office.
- Manages and understands the President’s schedule and pro-actively anticipates support requirements.
- Plans and coordinates special Presidential events; oversees all arrangements and details necessary for proper execution.
- Assists in planning and preparing for all Board of Trustees meetings including full Board, Executive Committee, and Trustee Committee meetings, actively plans and participates in senior management meetings and ensures all necessary materials from staff and other sources are timely and complete.
- Conducts research and provides summaries on a variety of issues. Researches various topics, prepares reports, and drafts speeches, as directed by the President.
- Serves on internal/external special committees as assigned.
- Manages the budget for the Office of the President.
- Maintains confidential and/or sensitive information.
- Supervises and trains clerical staff in the President’s Office and provides constructive criticisms and annual performance assessments.
- Develops and maintains positive and effective working relationships, representing the President and the College at all times, with internal and external college stakeholders using principles of good customer service.
- Serves as the liaison between the President’s Office and College leadership, faculty, staff and students, public, state, national officials, alumni, donors and friends of the College.
- Handles telephones, letters, reports and memos and other related administrative tasks as assigned.
Qualifications:
Bachelor’s Degree required. Master’s Degree preferred. 5+ years in a progressively responsible administrative experience in an executive setting required with previous years working in a higher education environment. Strong organizational and project management skills coupled with maximum efficiency required. The successful candidate must demonstrate the ability to plan, research, implement, and complete complex tasks in a fast-paced office. Thorough understanding of budget and finances is key. Polished oral and written communications skills are essential. Ability to exercise discretion and maintain a high degree of confidentiality is a must. Flexibility is required along with great attention to detail, multi-tasking capabilities, and the ability to handle stress under pressure. The candidate must possess a collaborative and collegial style of leadership. Strong computer literacy in Microsoft Office products including Word. Excel, and PowerPoint are essential.
