Facilities Manger needed for office in NYC!
Responsibilities include:
- Coordinate central resource files to create economies of scale for purchase negotiations and budget management
- Manage overall desk population and seating arrangements of existing and new employees.
- Manage overall shipping and receiving procedures
- Schedule, coordinate and oversee physical relocates of individuals, departments etc.
- Set up internal standards for maintenance requests and job actions
- Support the process of new office space construction in cooperation with the architecture team.
- Oversee building security, lighting, temperature controls and housekeeping
- Liaise with Building Management regarding cleaning service, vendors, HVAC, repairs, etc.
- Ensure all vendor requests are complete, scheduled and handled efficiently
- Monitor upkeep of furniture inventory
- Conference Room Coordination --Set up and breakdown of meeting rooms
- Oversee reception desk, maintain reception schedule ensuring coverage
- Maintain office equipment regarding ordering and maintenance (copy machines, coffee machines, scanners, etc.)
- Ongoing Work Space Planning (Office Expansion) coordinating internal workspace moves with employees, management and IT
- Inventory and Ordering of all office/employee kitchen supplies- selecting vendors, reviewing invoices to ensure maximum cost-benefit for goods and services for organization
- Oversee Employee Office Management Administration Requests: New employee services including employee building identification process and handling; arranging with IT for equipment and work space, stationery supply orders, employee business cards, etc
- Create, develop and maintain office policies and procedures to ensure all information is current and consistent with company policy.
- Take full responsibility for designing and implementing full emergency planning strategy
- Assume the leadership responsibility of partnering with human resources, team members and cross-functional peers to create a physical environment as well as a business culture
- Take on special projects and miscellaneous duties as needed and upon request
