Role and Responsibilities

The Federation Divisions within Goldman Sachs manage the back office functions of the business.

We are looking for a Assistant to provide administrative support for diary management for the Federation Divisions in Moscow. The working approach amongst the team is varied so a flexible approach to the work and how it is carried out is essential.

General administrative support (phones, maintaining files, distributing mail, scheduling meetings, coordinating travel arrangements, ordering office supplies etc.)
Maintain calendars in Outlook for selected senior managers in the Federation division
Invoice preparation, coding and processing (including law firms invoices (ELIOT)
Prepare travel and expense statements ensuring that items fall within specific guidelines (TE’s)
Co-ordination of internal and external meetings including meeting and greeting visitors
Create documents (i.e., PowerPoint presentations, Excel spreadsheets, etc.)
Fulfillment of various responsibilities with regard to corporate governance of 3 entities in Russia (calling BOD/EB meetings, taking notes at meetings, finalizing minutes)
Track GS officers/directors authority and POA expiration
Organization of notarization and apostillation including the Bank signature cards
Electronic and physical document record keeping
Tracking regulatory external documents inflow via CLIDE system

Basic Qualifications

Technically proficient in MS Word, Excel, PowerPoint and Outlook
Excellent written and verbal communication skills
Fluency in English and Russian
