Key Job Responsibilities Monitoring the progress of tasks assigned to teams within financial aid divisions. Monitoring compliance with Title IV regulations and the accuracy of information provided by the financial aid assistants (FAA) and financial aid officer (FAO) teams. Performing quality control of the packaging process including eligibility, verification and revisions. Providing training and guidance to the FAAs and FAOs. Scheduling biweekly meetings with FAA and FAO team leads. Monitoring workflow and reassigning staff to minimize backlogs and overloads within various areas. Handling internal and external escalated calls. Supporting teams as needed. Providing motivation to teams. Developing improvements to processes or workflows. Assisting in the hiring of new FAA and FAO team members. Reviewing Title IV training materials for accuracy. Providing Title IV training to newly hired FA personnel. Monitoring the timeliness of the electronic processes. Monitoring the integrity of the electronic reports. Conducting self according to Kaplan's expectations. This includes schedule adherence, attending training classes and adherence to all standard operating procedures (SOP). Minimum Qualifications - Bachelor's Degree (B.A./B.S.) - Four years of financial aid experience. - One year supervisory experience. - Proficient with MS Office suite. - Experience with COD - Advanced knowledge in the delivery of federal Title IV funds. (This includes, but is not limited to: Disbursement regulations, Cash management rules, Military and non-military student eligibility requirements, Withdrawals and Return of Title IV funds calculations, Verification processing, Resolution of conflicting information, Professional judgment indications and processing, Consequences of withdrawing from course(s) and/or the university, Satisfactory academic progress requirements, Overaward identification and resolution, Common origination and disbursement (COD) processing.) - Ability to be flexible to meet the division's needs. - Excellent analytical skills. - Ability to explain complex issues in a clear and concise manner. - Troubleshoot potential workflow backlogs and processing issues. - Demonstrated communication style that encourages and motivates staff. - Proficient with Microsoft applications and Outlook. - Excellent communication skills, including the ability to de-escalate difficult communications.
