The Role: To organize, service and coordinate all aspects of Foundation Member’s requests and to support the Foundation Room Sales Manager in administrative duties.
Responsibilities:
- Attend Weekly Sales/DOFO conference call
- Receive and fulfill member requests from incoming calls (renewals, inquires, changing names on a membership, ordering replacement cards, complaints dinner/show reservations, special requests etc)
- Call all renewed/new members after 60 days of their joining/renewing with an offer (tickets, complimentary drinks for example)
- Keep track of each members offer in Salesforce so we don’t repeat offers
- Call members to remind them of the upcoming member events
- Call members the day after they had dinner or attended a member event to ask how their experience went
- Keep track of members who have not visited recently and call them with an offer (tickets, complimentary drinks for example)
- Update member profiles in Salesforce
- Mail out member birthday cards and anniversary cards with vouchers
- Keep track of vouchers by numbers and reconcile redeemed vouchers
- Offer additional concierge services to members whenever possible, ie. hotel rooms, reservations at other locations, show tickets, etc.
- Handle all ClubCorp reservations
- Daily calls to confirm nightly dinner reservations based on access list
- Daily reconciliation of all tickets against the access list and pick up tickets at box office for hand off
- Create hand off document and communicate with all involved for nightly preparations
- Respond to Concierge Email box and Voicemail in a timely manner
- Assist in emailing special offers to members
- Track guest access in Salesforce and GuestBridge
· Maintain departmental files
· Assist in coordinating quarterly member events
Job Requirements:
· Proficient in Microsoft Office (Word, Excel, Access and PowerPoint)
· Skills in interpersonal communication and teamwork
· Ability to handle multiple tasks quickly and efficiently
· Time management skills
· High School Diploma
Preferred:
· Point of Sales knowledge
· Some College
