Location : MGH Main Campus - Boston Department : Oral Surgery WACC 230 Regular/Temporary : Regular Standard Hours : 40.00 Shift : Day Full Time/Part Time : Full-Time Job ID : 2225309 Job Description : Under the general direction of the Sr. Administrative Director and the OMFS Administrative Manager, the Front Desk Lead/AR specialist (FDL) coordinates all of the day-to-day front desk duties including answering the phone, greeting and checking in patient and all after visit work. Will be accountable for obtaining insurance authorizations and providing excellent customer service to all OMFS patients in accordance with department policies and procedures. Will be responsible for the monitoring and preparation the department metrics to include the telephone performance (ACD) and 3rd available appointment access reports. Supervise staff to make sure every patient is properly greeted and checked in for their appointment. When a patient fails to keep a scheduled appointment will make sure a no show letter is generated and sent. Provide new patients with HIPAA paperwork, verify insurance information, give emergency patients triage slips for the nurse to triage the patient, confirm demographic and insurance data, place encounter forms in flag bin and make sure appropriate flag is selected. Will monitor the ACD Agents log in screen and make sure all staff are logged into the ACD queue. Will make sure staff is compliant; will address with staff to make sure call volume and speed to answer meets the MGH standards. Schedules appointments, calls to confirm appointments as necessary, add no-shows and arrivals in IDX, sends no-show letters to patients, pulls and files charts, runs and processes daily operations reports (i.e. Encounter Post Missing Report, Bump List, Daily Schedule, Manager Balancing Report, No-shows from LMR, and New Patients). Conducts ACD encounter forms procedure code verification, prepares and drops off co-payment deposits, batches cash, checks, and charge collections via IDX Peoplesoft, checks on-line appointments and makes recall appointments, picks up and drops off office mail, processes charting requests, fills empty slots from cancellations and no-shows, returns patient calls from the answering service, makes new charts, and links referrals to appointments. Reconciles ACD and PBO forms ensuring that all encounter forms are accurately filled out and sent to the correct billing site to be entered works a monthly missing charge report along with a monthly credit balance report. Will monitor the process for assigning new patients without any relationship or referral to the OMFS department to insure the equal distribution of new patients to faculty as determined by area of expertise Assign staff to lunch breaks so the phones are staffed at all times. Monitor the staff for accurately entering dental insurance data into IDX so that dental claims can be billed out to insurance companies Order office supplies Assist with the pulling and filing charts three days in advance Conducts the end of day closeout-printing out and posting schedules for the next day in designated areas Monitors the pulling of charts, e-mailing a notice on missing charts. Will assign to subordinate staff the tasks to verify patient medical and dental insurances and will obtain pre-authorization numbers, perform test edits, enter dental cases for both the department and hospital cases, review and process cash collections, reconcile both ACD and PBO encounter forms, schedule patient appointments, and work the credit balance report to established standards. Performs all assignments assigned by clinical staff and all other duties and projects as assigned by Sr. Administrative Director or the Administrative Manager. Insurance knowledge required. Hotel or Healthcare experience preferred. Minimum of 4 years of supervisory level experience required.
