General Services Specialist recruitment
Corporate Real Estate Services (CREAS) provides a business-enabling and efficient working environment for the offices in Asia Pacific covering Wealth Management, Investment Banking, Global Asset Management and Corporate Centre. It comprises of a number of functional streams incorporating Real Estate, Property Management, Design Projects, Ecology, Workspace Planning, Travel, Security and Corporate Services. These functions are all supported by the CREAS Business Management team.
Reporting to the Head of CREAS, South East Asia, the General Services Specialist will be responsible for the set-up and documentation of all CREAS administrative works related contracts, information systems management, best practices and management information. He/she will assist in the execution of day-to-day administrative functions, operation of activities and initiatives and attend to clients’ and staff needs across a wide spectrum of functions which will cover the following:
Assists to oversee:
- Maintain the lease administration including contracts, renewals and update in system
- Purchasing and administration of general office supplies and equipment Facilities (Fax Machines, Shredders, Pantry equipment), general printing business cards, ad-hoc pantry supplies, etc
- Ensure integrity of all physical records and document classifications and to lend guidance to local users on records management standards including the navigation of the PRIS system. Manage the custodian role in relation to document archival and retrieval processes for CREAS
- Proactively manage Management meeting schedules, room bookings, meeting minutes, Travel arrangements, Expense claims, etc
- Organize department events/get together, ordering and distribution of seasonal diaries, festive cards and red packets and UBS publications for the Bank
- Administration of department Mobile Phones/Blackberry purchase, transfer, cancellation, billing and maintenance
Our ideal candidate should have the following requisites:
- Good skills in preparation of presentation materials
- Strong administrative skills with good experience and interest in managing ecology matters
- Prior experience in service management and service oriented environment is much preferred
- Hands-on approach to resolving team issues
- Interact within specific CREAS staff members across country and region, business partners and/or outsourced vendors within Singapore branch, to deliver operational efficiency and first in class service delivery to our business clients.
- Support country initiatives, implement of projects, facilitate change management and process improvements across CREAS South East Asia
- To support environmental efforts at the country level supporting Regional Environmental Head on ecology matters within Singapore, ensure that the mandatory activities and awareness of UBS environmental policies are undertaken in accordance with the principles of ISO 14001, comply with legal and regulatory requirements with periodic audits and administering a process to set targets and capture environmental performance data (energy, waste, recycling, paper, water) wherever possible and update relevant database
- Support the local CREAS team in formulating and preparing executive summaries, presentation materials and management reports to facilitate management decisions
- Lead the role of Administration manager for the department
