GRANTS ADMINISTRATOR / 40 HOURS / DAY / BWH - DEPT. OF MEDICINE/GLOBAL HEALTH EQUITY

Responsibilities: GENERAL SUMMARY / OVERVIEW STATEMENT: The Division of Global Health Equity (DGHE) works to reduce health disparities and to improve medical treatment outcomes for the poor. The Division is currently involved in projects in the US (Boston and Navajo Nation), Haiti, Peru, Russia, Rwanda, Lesotho, Malawi and South Africa, focusing on infectious diseases (e.g., HIV and tuberculosis) as well as non-infectious diseases (e.g., coronary artery disease, diabetes, addiction) and other health problems of major importance to society. The Grants Administrator is a member of the DGHE Grants and Finance team, under the supervision of the Grants Manager. This position?s major responsibilities include: 1) Pre-award Grants Management, including preparation of grant applications for NIH and foundation submissions; 2) Post-award Grants Management for NIH and other awards; 3) Coordination of Progress and Final Reports; 4) Accounts Payable/Receivable activities. PRINCIPAL DUTIES AND RESPONSIBILITIES: Pre-award Grants Management Responsible for pre-award grants administration for the Division: ? Work with faculty to identify and organize all components necessary for grant submission ? Track progress/completion of grant application pieces ? Coordinate/manage efforts of research assistants and others in the application process ? Work with subcontractors to complete subcontract application paperwork ? Submit applications for Research Management review and make necessary corrections ? Track pending submissions through award/denial ? Coordinate all Just In Time requests Post-award Grants Management Responsible for post-award management of NIH and other awards: ? Work with Research Management to ensure timely set-up of new and advance funds ? Work with the Principal Investigator (PI) to confirm final budget and subcontracts ? Communicate with Contracts Specialist regarding incoming and outgoing subcontract agreements including new contracts, renewals, and modifications ? Work with Grant Manager and Financial Analyst to revise faculty and staff effort due to new awards ? Update grant expense reports on a monthly basis for PIs? review ? Processes journal entries and cost transfers on a monthly basis Progress and Final Reports Responsible for coordinating on-time progress and final report submissions: ? Work with faculty to identify and organize all components necessary for timely report submission ? Prepare annual progress and final reports and supporting documents (both eSNAP and paper submissions) ? Track progress report deadlines for all grants Accounts Payable/Receivable ? Responsible for invoicing other institutions per the terms of our contract/agreement and following up on payments ? Process and pay invoices from vendors, subcontracts, and consultants ? Process all faculty and staff reimbursements Other ? Answer questions and provide support to faculty and staff regarding grants management ? Assist Grant Manager and Financial Analyst with other Grants/Finance tasks as assigned ? Attend Grants Finance meetings and monthly BWH Research Administrator meetings, and trainings to enhance knowledge and skills ? Track DGHE Human Subjects (IRB) approvals and work with faculty and research assistants to meet all deadlines ? Trouble-shoot payment delays and other issues with PHS Materials Management Requirements: QUALIFICATIONS: ? Bachelor's degree required; grants management training/courses a plus ? Highly proficient skills in Microsoft Office are required ? Interest in learning about academic and medical grants management ? Interest in health care, social justice, and health equity domestically and internationally a plus SKILLS / ABILITIES / COMPETENCIES REQUIRED: ? Must be deadline driven ? Able to take responsibility for oversight of tasks with many moving parts and multiple deadlines ? Able to communicate effectively and professionally in writing and orally with a wide range of people ? High attention to detail; ability to multi-task and function effectively in a fast-paced environment ? Willingness and curiosity to problem solve ?
