Head of Office – Fund Administration recruitment
My client has experienced impressive growth despite the difficult financial climate and is expanding their operations to Malta. You will be responsible for contributing to the strategic direction of the client’s business as well as initiating and developing client relationships to help grow the core business.

Ideally you will be a qualified accountant or qualified by experienced and have experience in the start-up and operation of a fund administration company. Senior candidates without start-up experience but with senior management experience will also be considered. A highly competitive salary is on offer along with excellent benefits.
This role involves a number of important responsibilities including:
- Participate in developing the strategic direction of the Malta office, particularly with regard to long term planning, medium term budgets and policy decisions;
- Review the profitability level of each client and member of staff;
- Assist in the production of presentations for new business opportunities and in compiling the fee quotations for such opportunities;
- Managing the Administration service delivery and recruitment / retention policy of the Malta office;
- Ensure that the Company’s contractual administrative obligations are satisfactorily performed for each and every client in the Company’s portfolio;
- Act as the senior level of contact for ensuring and enhancing client service and service level expectations;
- Motivate staff, maintain quality control measures and seek to constantly improve the performance of each member of staff;
- Ensure the timely planning and delivery of the client financial statements and management accounts;
- Ensure the timely provision of all corporate secretarial services, particularly around board meetings;
- Arrange for the necessary training facilities to equip staff to fulfil their responsibilities and develop their roles;
- Ensure that agreed staff objectives and management goals are agreed and clearly stated;
- Ensure that Funds operate within their Investment Guidelines and meet their on-going statutory and regulatory requirements;
- Ensure that regulatory and statutory reporting requirements are met;
- Ensure that continuing obligations of stock exchange listed entities are met;
- Co-ordinate the acquisition of new business engaging the relevant team members to facilitate a timely and effective provision of set-up and on-going administration functions.
With a role of this nature the following person profile would be an ideal fit:
- A professional accounting qualification is preferred though not essential;
- Significant experience within fund administration including a number of years experience in managing and motivating teams;
- Some experience in the start-up of a fund administration company / function within an existing company, is desirable;
- The ability to maintain service level standards and a controlled operational environment in what is anticipated to be a rapidly expanding office in Malta;
- Excellent organisational and planning skills;
- The ability and patience to develop staff from both a training and personal development perspective;
- Excellent presentation skills and a proven track record in winning and maintaining new business;
- An enthusiasm for an island lifestyle.
