Head of Property Services Japan and Korea recruitment
Purpose of the role
This role will work as part of the Property Services (PS) team to:-
- Support the local businesses by delivering and providing effective high value/optimum cost facilities management and related property services
- Align the needs and objectives of the business as well as the local culture to ensure effective PS delivery
- Act as a focal point for engaging other PS professionals in specialist areas such as Projects, Logistics, environmental and benchmarking etc. Working as support / liaison to these colleagues to achieve successful delivery of PS services / regional strategy
- Provision of professional advice on issues such as operational risk, Health Safety etc., and the implementation of related procedures to meet as a minimum local legislation and Group standards where appropriate, practical and beneficial
- To work as part of a team in conjunction with Group Business Partners to deliver continuous improvement and quality improvement activities as well as monitor customer satisfaction levels
- Manage the relationship and performance of the local supply chain
Deliverables
- Develop and maintain strong and effective working relationships with Business Partners, colleagues and key service providers.
- Develop understanding and knowledge of Group Businesses to ensure that the appropriate facilities management strategy and operating requirements are implemented effectively in the existing and any future properties
- Build a credible image with senior management and all building users
- Provide advice, guidance and appropriate support to GBM / Business units in the management of the Workplace environment including (in close liaison with Business focal points ) the following areas:-
- Participate in periodic meetings with Business focal points to coordinate local office actions and ensure any risks is mitigated
- Identification of facilities management issues and implementation of effective solutions in a timely manner.
- Develop optimum and cost effective routine planned maintenance including local management of suppliers to ensure uninterrupted occupancy of building.
- Management of consultants, contractors and other service providers and suppliers –iaison with Building Users will be via the Business focal point (Office Manager).
- Testing, commissioning and handover stages of installation and repair works.
- Review of Office layouts and liaison with IT as necessary.
- Audit of records of maintenance operations and service installations as required by statute/best practice and to ensure quality standards are met.
- Management of operational risk undertaking of regular status reporting including escalation of Incident Reporting.
- Ensuring adherence to Bank policies and procedures concerning financial authority levels, payment response times and all relevant audit measures.
- Implementing and managing Facilities Management Strategy, Facilities Procurement strategies, including Group Environmental Policy.
- Strong supplier management, including working with the Head of Facilities, Asia and Office Manager to develop and implement performance measures with ongoing monitoring.
- Flexible support to cover varying needs of supplying office management services to GBM / business units in Japan. This may include purchasing and all aspects of administrative support.
Requirements
- A minimum of 3 years experience in Facilities Management in an office environment.
- Customer service experience gained in an Facilities Management or building services environment
- Experience in managing a small size of team
- Excellent interpersonal and communication skills with the ability to build and develop relationships and work with people at all levels.
- Fluent in written and spoken English (as well as excellent literacy in local language).
- Professionally qualified in a building/facilities discipline would be advantageous.
- Understanding of matrix reporting in international organisations
- Provide call-out cover as required to maintain business continuity.
- Flexibility to meet Business needs – occasional out of normal hours working might be required
