Job Description: Process and transcribe physician and nursing orders effectively.Perform a variety of clerical activities to support efficient department operations.Provides prompt, efficient reception support and coordination for the unit.Assists visitors to the department and provides direction and instruction to those requiring assistance. Consistently provides assistance proactively to those who require more than verbal direction.Utilizes systems as trained to generate reports, enter data and verify information upon request.Prioritizes and processes physician and nursing orders in a timely and accurate manner.Informs nursing staff of urgent physician orders.Acts as resource for Electronic Medical Record and other computer applications commonly used on the patient care unit.Provides reception services in a cheerful and courteous manner as needed, demonstrating concern for visitors to the area.Answers questions and provides resources in areas of service. Responds to questions in a manner which maintains positive customer relations.Sends documents via appropriate route as requested.Prioritizes, processes and routes physician orders/test requests to appropriate departments.Monitors and processes orders distributed via printers in a timely manner.Schedules proper diagnostic tests and procedures as requested; documents appropriately.Answers telephone in a pleasant and courteous manner within three rings, identifying self and department. Refers calls to appropriate individuals promptly, politely and according to procedure. Records messages accurately and relays them promptly to the appropriate individual.Acts as receptionist to ensure the smooth flow of callers and visitors.Receives, coordinates, and requests patient appointments, referrals and consults to support efficient patient care.Enters physician/nursing orders accurately into the care plan.Creates, maintains, and terminates patient charts in compliance with medical records guidelines. Ensures the integrity of the medical record, including patient identification on all chart forms. Maintains chart forms in correct placement in the chart behind the correct chart tab. Guarantees that all chart documents are placed in the chart in preparation for transfer of discharge. Sends old medical records to Health Information Department at discharge. Sends thinned charts to new unit upon transfer or to Health Information Department upon discharge.Notifies appropriate members of the health care team of patient activities in a timely manner.Receives, coordinates and requests patient appointments, referrals, and consults to support efficient patient care.Obtains patient`s previous records and any pertinent information as needed.Communicates scheduled activities to patients/families when appropriate.Demonstrates knowledge of appropriate process for obtaining forms, supplies, and equipment.Demonstrates an ability to be flexible, organized and function in stressful situations.Maintains an orderly, organized, and efficient desk area.Monitors patient room supplies and equipment to ensure adequate quantities on the patient care unit; stocks rooms as necessary.Receives, stores stocks office supplies and equipment in nursing stations and designated areas and verifies accuracy of supplies/equipment orders.Utilizes supplies in a cost-effective manner.Obtains appropriate nursing staff to assist patients, physicians and family members in the care of the patient.Demonstrates ability to troubleshoot/problem solved minor office equipment problems and utilize appropriate resources as necessary to ensure proper equipment functioning.Ensures availability of preassembled chart packets.Responds appropriately in emergency situations. Basic Qualifications: Previous work experience in a health care facility preferred. High school graduate or equivalent required. Successful completion of Health Unit Coordinator or Medical Secretary program required. Other Qualifications: Crucial Conversations within twelve months of hire. License or Certification: Health Unit Coordinator (HUC) certification required upon hire or within six(6) months of hire.
