Summary of role:
To provide and effectively manage all HR Administration systems, ensure all HR matters are dealt with accurately and in good time and that information is relevant for management planning and decision making. Provide a high level of support to the HR Supervisor. Maintain a seamless system for maintaining all confidential personnel records.
Main Tasks and Responsibilities:
- To support HR Supervisor with all administrative functions.
- To respond and deal with queries from staff.
- To receive all incoming mail/ telephone enquiries for the department and deal with these directly or redirect as appropriate.
- To compile any relevant statistical and other reports as requested from time to time by the HR Supervisor or other senior managers.
- Maintain and update computerised and manual personal data – respecting the confidential nature of this data and complying with Data Protection Legislation.
- Maintain disciplinary, grievance and redundancy procedures as directed by the HR Supervisor.
- To take part in case work disciplinary/ investigations and counselling sessions, to work alongside and advise Managers and Directors as directed by the HR Supervisor.
- Maintain and update filing system, both electronic and paper.
- To administer monthly visits of the Company doctor. Maintain confidential Medical History forms, arrange appointments for surgery visits.
- To organise Occupational Health appointments for long term sick employees.
- Administrate all training requests, ensuring that appropriate authority has been sought prior to any training being booked and paid for.
- Ensure that, where appropriate, Training Bonds are drawn up and signed by staff member attending the training and countersigned by an appropriate Director, prior to any training being booked and paid for.
- Ensure staff have all details they need to attend any training courses booked.
- Maintain master copies and design/re-design as appropriate, all forms pertaining to personnel for recruitment, training, absence, sickness, appraisal, change of personal details, contract change and emergency contact details and any other forms that are used / required from time to time.
- To assist Line Managers in the creation of appropriate job descriptions prior to commencement of any recruitment campaign and in-line with current legislation.
- Ensure that payroll is informed of all transfers between companies, change in salary details, job title or any other personnel changes as and where appropriate.
- Create new personnel file, where appropriate, for all new starters and ensure all recruitment paperwork relating to the successful candidate is enclosed.
- Ensure Baseline Security paperwork is in order prior to submission to the Security Controller for processing.
- Ensure all areas of Checklist for New Starters are completed, including entering personal details on Time Attendance and Personnel software programmes.
- Organise and conduct a B-N Group Limited HR induction presentation for all new members of staff, in accordance with Company induction programme.
- Forward induction checklist and IT policy to new starter’s Line Manager.
- Ensure that all filing is kept up to date and ensure that all confidential or personally generated HR correspondence is shredded.
- Any other duties appropriate to the post, as requested by a Company Director or the HR Supervisor from time to time.
