The ideal candidate will be experienced in handling a wide range of HR, administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting the President and CEO of Hawaii’s leading pay in advance wireless service provider.

The ability to interact with staff (at all levels) in a fast paced environment, often under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important. Confidence and comfort in dealing with Board of Director level individuals a must.

HR RESPONSIBILITIES:

1.      Maintains the work structure by updating job requirements and job descriptions for all positions.

2.      Maintains organization staff by establishing a recruiting, testing, and interviewing program; counseling managers on candidate selection; conducting and analyzing exit interviews; recommending changes.

3.      Maintains a pay plan by conducting periodic pay surveys; scheduling and conducting job evaluations; preparing pay budgets; monitoring and scheduling individual pay actions; recommending, planning, and implementing pay structure revisions.

4.      Ensures planning, monitoring, and appraisal of employee work results by training managers to coach and discipline employees; scheduling management conferences with employees; hearing and resolving employee grievances; counseling employees and supervisors.

5.      Maintains employee benefits programs and informs employees of benefits by studying and assessing benefit needs and trends; recommending benefit programs to management; directing the processing of benefit claims; obtaining and evaluating benefit contract bids; awarding benefit contracts; designing and conducting educational programs on benefit programs.

6.      Ensures legal compliance by monitoring and implementing applicable human resource federal and state requirements; conducting investigations; maintaining records; representing the organization at hearings.

7.      Maintains management guidelines by preparing, updating, and recommending human resource policies and procedures.

8.      Maintains historical human resource records by designing a filing and retrieval system; keeping past and current records.

9.      Maintains professional and technical knowledge by attending educational workshops and reviewing professional publications.

10.  Contributes to team effort by accomplishing related results as needed.

11.  Keep confidentiality of all employee information.

12.  Other ad hoc as required

 

EXECUTIVE ASSISTANT RESPONSIBILITIES:

1.      Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings.

2.      Interface with customers and vendors on an as needed basis.

3.      Assist CEO with preparation of presentation materials.

4.      Review and summarize miscellaneous reports, documents, contracts and agreements to filter incoming flow to the CEO.

5.      Track and follow up on deliverables of CEO’s direct reports as requested by CEO.

6.      Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.

7.      Arrange travel schedule and reservations for executive management as needed.

8.      Maintain Company’s business filings as well as legal and compliance updates with state and federal agencies.

 

QUALIFICATIONS:

1.      Bachelor's degree (B. A.) from four-year college or university in business, finance, communications or human resources related fields.

2.      Five+ years HR experience and experience supporting at the executive level, preferably to a President or CEO.

3.      General office management experience.

4.      Strong knowledge of MS Office, including Word, Excel, and PowerPoint.

5.      Support experience in a professional, customer focused, sales and marketing environment.
