Reporting to the Implementation Manager, the Implementation Coordinator is responsible for providing project coordination to ensure the successful deployment of new programs associated with the unprecedented Post-Employment Benefit (PEB) changes.

The implementation coordinator will assist in leading a team of cross-functional individuals toward this common goal. The responsibilities may include creating, establishing and managing project plans and possibly leading some of the sub-projects that are associated with PEB. The individual will assist in identifying risks, opportunities, and possibly corrective measures associated with the project, and subsequently documenting and providing status on these. The individual will liaison with multiple levels of staff and across several business areas, such as Retirement Administration, Retirement Strategy/Design, and Information Systems. Additionally, the individual must be adept at interfacing with varying levels of employees, and must possess outstanding communication skills in order to lead discussions with different groups.

Assignments will be specified by the Implementation Manager or the Director of BIS.

Job Duties
Coordinate PEB implementation activities - 70%
Provide collaborative coordination skills for cross-functional projects. Project responsibilites span business, technical and project execution using internal and external resources.

Participate in strategic planning and project initiation/development to ensure that the direction of projects is aligned with the business goals and to ensure compliance with applicable regulations, policies and procedures, sound financial management and business practices and achievement of performance objectives.

Assist in the development of detailed project plans including goals, deliverables, budget and timeline with both stakeholders and team members. Oversee resources to optimize work and project delivery.

Assist in the establishment of sound measurements for each phase of the project to determine and demonstrate performance, success and completion.

Motivate team members and faciliate meetings, acting as liaison and problem-solver. Facilitate decision-making as it relates to the overall quality and execution of the project. Assist in ensuring that each individual team member understands the expectations of his/her contribution.

Assist in the development, preparation and maintenance of appropriate documentation such as project management plans and closing summaries.

Maintain and monitor project plans, including status, identifying issues or concerns, that may jeopardize or delay project implementation. Report on project status and deliverables to senior managers, as needed or requested.

Confirm understanding of project goals, scope, resources, work plan and deliverables with work team.

Maintain regular and effective communications with the work team and the sponsors to ensure prompt and effective implementation and resolution of issues.

Assist in managing the implemetation process to completion, including wrap up, post-project review and transition.

As each phase of the project is reached, identify lessons learned and apply to future phases.

May also be required to lead other program implementation and internal projects as needed.

Perform other tasks on project as needed/assigned.

Review, analyze and evaluate existing business processes - 30%
Provide consultation and support for other projects.

Provide BPS staff with project implementation techniques training.

Assist in the continuous improvement of internal processes and deliverables.

Job Requirements
Bachelor's degree and minimum 4 years project experience that includes experience in project initiation, planning, executing, monitoring and controlling, as well as project closing. Certification in Project Management preferred. Experience working with retirement pension plans desirable. Experience working with employee health and welfare or other benefits plans desirable.

Demonstrated ability to identify key issues critical to the success of a desired product/outcome, to quickly research and collect pertinent information from subject matter experts to integrate essential information, and to use that information to define and test options and alternatives. Demonstrated ability to develop recommendations and justifications for the most productive course of action.

Excellent oral communication skills that demonstrate a professional demeanor and political acumen. Have the ability to effectively convey and explain information to a wide array of people and tactfully deal with different situations and ideas. .

Ability to work under direction with the experience and judgment to accomplish goals.

Strong meeting facilitation skills.

Demonstrated experience leading or coordinating work teams. Prior experience should include motivating staff in an environment with concurrent tasks, changing priorities and resources utilizing work and project plans to meet deadlines.

Proficiency in the Microsoft Office suite of products. Proficiency in project management or organizational tools such as Project and SharePoint and diagramming tools such as Visio to prepare project schedules, flow charts, and presentation materials. Able to express project plans or complex information in a user-friendly language and style, present information one-on-one or group settings, including in forums with senior managers.
