Information Risk Manager – Records Management recruitment
Overview:
The role holder will be responsible for supporting Group-level records management processes including policy compliance, reporting, and retention schedule refreshes. In addition, the role holder will be expected to provide Group-wide records management subject matter expert advice and guidance.
Records Management Policy / Retention Schedules (50%)
• Ensure that the Records Management Policy and supporting guidelines remain current and that changes in legislation / market conditions are reflected in a timely and appropriate manner
• Deliver the rolling country retention schedule refresh cycle through the leadership and management of external lawyers, internal lawyers and records management leads across the Group to reach agreement to changes
• Design and implement a robust change process to support the records retention schedule refresh activities
• Identify and implement improvements to manage all legal, regulatory and business records retention requirements in an accessible repository
• Communicate policy changes to lead records managers and oversee remediation actions
• Support in the development of consistent and effective records management standards and tools which underpin policy requirements
Governance / reporting (20%)
• Provide Records Management ‘subject matter expert’ input into Group policy and minimum standards
• Define Records Management risk appetite measures and tolerances
• Identify and highlight for investigation, key trends and areas that may increase the risk of non-compliance
• Provide advice and guidance to Business Units and Functions in respect to areas of non-compliance. Drive assessment, disclosure and remediation of areas of non-compliance
• Responsible for setting and implementing a Global Records Management conformance testing plan. Escalate exceptions and monitor and support exceptions to resolution
• Develop the format, frequency and measures for a regular report of Record Management compliance and performance across the Group
• Drive and monitor adherence to Group-wide Disposal Hold requirements and activities
Knowledge and Strategy (20%)
• Provide Records Management subject matter expertise and guidance
• Create and maintain a library of records management resources
• Research into the most appropriate tools and techniques to support Records Management across to develop best practice
• Enhance records management training modules / requirements and maintain
• Develop and maintain the Records Management Intranet site to support effective information sharing
• Liaise with other functions to promote consistency and inclusion of Records Management.
Monitor external developments (10%)
• Drive involvement in external records management events and technology developments
• Collate information on external events and new technology to aid the formulation of change plans
• Support the communication and implementation of changes to records management within the business.
