Intellectual Property Administrative Assistant Job in Ottawa, Ontario Canada

A downtown Intellectual Property firm is currently recruiting for an Administrative Assistant. This position will combine the applicant’s knowledge of Intellectual Property with their hands on experience in the field.

General Responsibilities 

·         Type correspondence and reports from dictation machine or hand-written material;

·         Prepare routine correspondence and legal documents;

·         Prepare and file industrial design applications;

·         Prepare draft patent specifications;

·         Prepare and file patent assignment documents;

·         Prepare responses to Patent and Trade-marks Offices as appropriate;

·         Ensure professionals practice is running smoothly by handling routine enquiries; alerting professional of urgent due dates or other issues; schedule meetings; corresponding with clients as directed;

·         Be familiar with changing legislative rules and regulations in the intellectual property field;

Education/Experience
 

·         Three to five consecutive years of progressive experience as an Administative Assistant in an Intellectual Property environment;

·         Legal docketing experience preferred;

·         Excellent typing and computer skills in a Microsoft Windows environment;

·         Adaptable, dependable and open to change; 

·         Detail oriented, accurate and ability to work under pressure with minimum supervision;

·         Ability to effectively organize and prioritize work;

·         Work well with others in a team based environment;

·         Knowledge of computer programs in use in the office including Word, Windows XP and Outlook;

·         French is considered an asset;
