Internal Communications Assistant

Key responsibilities;

Assist Head of UK Internal Communications:
Write, edit and publish content on the UK, Europe (ex. Germany) and MENA intranet as needed. Maintain editorial calendar.
Send bi-weekly electronic newsletters.
Commission intranet banner ads, posters, brandscreens etc from graphic designers.
Manage reservation system for posters across London campus.
Manage content for London brandscreens.
Proof weekly Corporate Citizenship communications.
Assist Group Internal Communications:
Deliver group internal communications events - manage logistics and delivery under the guidance of the Group Internal Communications Manager. Manage the invitation and registration process for the Senior Management Briefing.
Manage the internal promotion of Senior Management videos on dbVision including liaising with designers for the production of brand-compliant banners, brandscreens and other marketing materials and distributing materials to the broader internal communications nextwork
Manage multiple tasks simultaneously particularly on Quarterly Results Day when Group Internal Communications is responsible for various high-level messages sent to the global audience and a meeting hosted by the CEO for Managing Directors
Assist in the production of Corporate Information Products, e.g. Key Facts, the dbReference Book and other products, through working with internal clients to collate and edit data, and working with printers and other vendors to manage design, print, logistics and distribution. Responsible for updating and uploading on to the Comms Intranet each quarter. The role will be accountable for the timely and accurate delivery of the products.
Assist in the management of email distribution channels, including monitoring of the following inboxes: Group Internal Communications, UK Internal Communications and Senior Management Briefing. responsible for maintaining and updating email databases
Collate a quarterly list of global awards for Forum magazine.
Manage the delivery of information for Forum as it relates to the Corporate Information Products, for example, Need to Know facts and figures.
Administrative tasks including: managing the Group Internal Communications weekly editorial and Monthly Meeting. Coordinate with the team to organise suitable times, send invitations, take minutes and distribute them to participants.
Update the Group IC credentials documents.
Produce and edit PowerPoint presentations.
Skills and Experience required:

Experience of using Red Dot, Communique or a similar web-based content management tool is an advantage.
Experience using Starcite or a similar meeting management system is an advantage.
A pragmatic, tactical operator. Able to work independently.
Team player. Must be able to work within a matrix organisation and cooperate with other functional staff as well as clients and vendors.
Ability to work under pressure and manage the needs and expectations of key senior stakeholders
Excellent verbal and written communication skills, especially proofing skills.
Interested in and committed to the importance of internal communications.
A good communicator, able to secure buy-in from internal peers and clients and respond to their feedback/requests.
