Co-ordinate Business Decision And Management Events

Responsiblities include:-
- MANAGEMENT SUPPORT
Regional IT Management Committee meetings – Coordinate smooth functioning of regional management committee including :
- Working with key stakeholders to build and release meeting agenda
- Coordinate with presenters to review presentation material and ensure quality
- Support Facilitator in ensuring smooth flow of meeting and taking minutes. Follow-up on agreed actions
Staff Townhalls – Assist in planning and execution of smooth functioning of regional townhalls (`2 per year with audience approx. 500)
- Working with key stakeholders, devise the theme, agenda of townhalls
- Identify venue, develop logistics, manage budgets
- Coordinate with Corporate communications and Global media services to prepare content – presentations, speaker notes and video content
Senior management visits to the region - Support APAC Regional Lead in preparing for senior management visits – includes developing agenda, visitor briefing documents, co-ordinating content and managing the visit.
Regional IT Management Committee offsite – Assist in planning and facilitation of management team offsites (2 per year)
- Work with senior management team to identify theme and agenda
- Plan and manage logistics
- Coordinate with speakers to prepare and review discussion material
- Facilitating the meeting, taking minutes. Follow-up on agreed actions
2. GRADUATE PROGRAM MANAGMENT
The selected individual will oversee the tactical execution of all graduate program activities in APAC including recruitment, training, career development and engagement of IT functions and regions in the graduate program (Technical Analyst Program)
Detailed description of responsibilities:-
Program Coordination:
The candidate will coordinate all aspects of the program for approximately 200 TA’s and their managers across Asia Pacific (Singapore, Hong Kong, Tokyo and India). Activities include:
- Supporting Campus Recruiting activities
- IT on-boarding of new TA’s
- Coordinating training and networking events
- Administration of Application Access requests, approval of weekly time sheets and ad hoc expense approval requests for TAs
- Conducting a bi-monthly TA Survey and analyzing / presenting results. Identifying trends and hot spots over the months and identifying corrective solutions
- Working with TA Working Groups on various initiatives for improving the program
- Act as Point of Contact for all graduate program related queries and feedback
- Act as an advisor to TAs and Managers on various TA related topics
Budget/Financial/Resources
- Managing the graduate program buget for APAC (i.e. TA TE, events, recruitment, training etc.)
- Communicaiting and coordinating with functional areas for the role allocaitons and headcount of TAs
- Conducting monthly reporting of data of TAs as requested by Global COO team
- Providing feedback to Campus Recruiting on recruitment, interview process and strategy for IT

Department Overview
- The Asiapac IT Chief Operations Officer (COO) organization provides business management and support to the IT Regional management team and is closely involved in strategy, human capital programs, communications, and performance management.
- The key priorities of the organisation are to:
- Develop regional strategy and governance as well as developing implementation plans and tracking execution. This includes management of projects relating to IT’s sourcing strategy and strategic vendors
- Partner with HR to develop and execute on IT’s Human Capital strategy developing programs to support staff development, manage talent, optimize the organizational structure and increase engagement
- Co-ordinate regional IT communications both internally and externally, project manage major events and provide support to the regional CIO and the IT regional management committee
- Measure and influence the drivers of IT performance in the region setting targets and providing transparency through scorecards and management reports
