Japan Corporate Roadshow Specialist recruitment

OVERVIEW:

Corporate Roadshows team undertakes Deal and Non-Deal roadshows for our corporate clients.

A successful roadshow can significantly improve our corporate relationship and encourage repeat business.

We use reliable preferred suppliers with negotiated rates for deluxe hotels, chauffeur cars and flights. Whilst on the road, management have 24/7 access to their roadshow co-ordinator and each roadshow is closely monitored by Corporate roadshows team for schedule changes or delays.

Upon completion of the roadshow, Corporate roadshows team provides an accurate final schedule and a fully transparent financial report

KEY DUTIES:

For incoming corporate roadshows for overseas corporate company must:
• Draft the schedule and agree the structure of the roadshow with the originator and corporate client (when acting as global roadshow co-ordinator)
• Brief overseas EM teams who manage bookings and invitations in their local region. Collate all details into master schedule (if acting as global co-ordinator)
• Manage and book all roadshow logistics including venues, audio visual requirements, travel and accommodation
• Set up each event on Event Portal and update the global roadshow calendar
• Prepare an estimated costing if required
• Distribute presentation materials to group presentation venues and one on ones
• Update the originator and sales teams on the level of responses to group presentations and changes to the schedule
• Produce final schedule booklet (with investor profiles for IR roadshows) and deliver to the travelling delegation the day before the roadshow starts (when acting as global roadshow co-ordinator)
• Attend each presentation to ensure smooth running of event and undertake delegate registration
• Provide the originator or global roadshow co-ordinator with reports of attendance and final roadshow costing

For Outbound corporate roadshows for Japanese corporate company must:
• Arrange and attend a briefing meeting with the business area originator once the roadshow is allocated to understand purpose of roadshow, relationship with client etc.
• Liaise directly with corporate clients on the logistical requirements. Make sure the all requirements meet their budget.
• Communicate with global roadshow coordinator to ensure logistical requirements can be met before commitments are made to the corporate client
• Complete client checklist and send the one to global roadshow coordinator who will then make bookings
• Prepare an estimated costing with consultation of global roadshow coordinator if required
• Suggest corporate for accommodation, restaurants, car details etc with advice of global roadshow coordinator.
• Send global coordinator one e-mail a day for each roadshow with all updates.
• Distribute roadshow schedule to corporate clients and the originator timely.
• Ensure gifts are adhering compliance guidelines.
• Print and dispatch all presentation materials to each venue/hotel timely.
• Keep an accurate record of all presentation materials couriered out including how many copies and to which location and update global coordinator
• Confirm the arrival of all packages and update global coordinator.
• Attend a briefing meeting with corporate and the business area originator before roadshow on a live.
• Arrange and attend a de-brief meeting with the business area originator once the roadshow has been completed and supply feedback to global roadshow coordinator, also input them to Tokyo roadshow data base for future reference
• Provide the originator final roadshow costing with all the invoice copies.

In General, across all products, the Event Marketing Specialist must:
• Check and process invoices for each project undertaken
• Submit project information via the Event Management system or any other process to global and local
calendars for information reporting
• Maintain information flow on events in Japan to relevant stakeholders
• Ensure Legal and Compliance requirements are met
• Make site visits where appropriate
• Oversee ordering of bespoke gifts and business gifts

BASIC REQUIREMENTS

Essential:
• Strong communicator, independent, proactive, strong client servicing skills.
• Experience working in a multinational corporation is a pre-requisite.
• Excellent organizational skills and strong attention to detail
• Native-level business Japanese; plus fluency in written spoken English • PC skills - Word, Excel, PowerPoint in essential. Access is a plus
• Able to effectively juggle multiple projects in various stages of development
• Inspire confidence and be able to influence internal clients to desired outcome
• Enjoy working closely with a diverse range of clients, establishing their needs and tailoring Corporate roadshows to meet exact requirements
• Able to work across organizational borders – need to liaise with colleagues in other areas with perhaps different objectives or approaches
• Able to appreciate and work easily with regional variance and cultural differences
• Enthusiastic approach
• Real team player - has belief in collective ownership and collective success
• Excellent logic and problem solving in terms of budgets and reporting
• Able to negotiate with suppliers to achieve best price – but also realize where quality cannot be compromised

Desirable:
• More than 5 years experience preferable + IR roadshow planning experience a plus
• Background in the finance industry a plus
