Keeps an inventory of all office supplies, office equipment and postage. Orders additional supplies as required. Works with Branch Management to plan branch functions (e.g., meetings, open houses, parties, etc.). Acts as the project liaison for all district or corporate initiated projects. Distributes information, as assigned, to the Sales Professionals. The first position applies in medium to large branch offices where there is a Receptionist/Greeter or Sales Support I or II, as well as this position. Activities for this position may include some or all of the following, depending on branch size.
Coordinates the ordering of office supplies and processing of expense reports, processing internal staff payroll forms, etc. May be responsible for interviewing and hiring new administrators. Responsible for training new office support staff including, receptionists and Sales Support administrators.
Acts as the primary support person for 4-8 Sales Professionals. Includes taking the candidate calls, reviewing resumes, scheduling interviews, sending letters acknowledging application/interview, entering candidate and company information into and running sales reports from MicroJ/MicroJ Plus, and ordering business cards and marketing material, etc.
Provides primary support to the Branch Manager and District Office. This would include processing all expense reports, A/P and internal staff payroll forms. Acts as the point of contact for the Regional Manager, Branch Manager, District Administrative Coordinators and District Operations Specialists. Receives all vendor calls and handles appropriately. Acts as a point of contact for property management issues. (May not be able to handle all issues, but can escalate appropriately.)
Coordinates the monthly I-9 process including sending I-9s via FedEx to FSC, the I-9 Exception Report process, as well as provide the results for both processes to the Branch Manager for sign-off.
