My client is currently looking for an individual to join their Legal department to provide secretarial and administrative support to the in-house solicitors and FOS team. Your key responsibilities will include:

 

·        Answering and dealing with telephone calls to the department and arranging telephone conference calls as necessary

·        Creating weekly department schedules and making travel/accommodation arrangements as required

·        Scanning, formatting and binding agreements and ensuring enclosures and engrossments are enclosed with correspondence

·        Departmental administrative duties such as diary management, archiving, amending letters, memos /faxes, documenting attendance notes and maintaining stationary within the department

·        Processing expenses claims, dealing with the payment of invoices and requesting cheques for settlement of claims/litigation

·        Audio, copy and general typing, along with maintaining department spreadsheets and records

·        Sorting, distributing and recording of incoming mail for the department

·        Working in conjunction with the Compliance department to ensure that all contracts, communication, litigation or disputes are conducted strictly in accordance with FSA rules and principles

 

In order to be successful you will be a strong administrator who is proficient in MS Word, Excel, Outlook and PowerPoint (at least to an intermediate level) and have a typing speed of approximately 55 words per minute. Excellent organisational and communication skills are essential as is the ability to work under pressure in order to meet tight deadlines.

Although not essential, a familiarity with legal forms, documents and text and/or a legal secretarial qualification would be an advantage.
