Job Summary
As the Legal Assistant to the General Counsel, you will be responsible for supporting the General Counsel and Corporate Legal Department as needed.
Job Duties
1. Manage Information:
- Monitor General Counsel’s email at all times – follow up with correspondence communications when appropriate and approved
- Stamp, scan, upload, and calendar all legal documents served upon the company and coordinate with legal department staff as appropriate
- Maintain a case management system (currently Abacus Law) detailing pending cases, response deadlines, status updates and other events
- Monitor status of responses and deadlines and send reminders to the appropriate individual as needed
- Maintain a task management system for the legal department (to facilitate greater coordination among legal department personnel
- Monitor, assign and respond to internal “tickets” submitted to the corporate legal department through Spiceworks from other company departments
- Generate weekly reports detailing all deadlines and events, and meet with General Counsel, Assistant General Counsel, and Staff Counsel regarding same
- Review and prepare responses to letters and complaints filed with Attorneys General Offices, State Bars, Attorney Demands, and other regulatory agencies, research and review clients’ files using Morgan Drexen’s proprietary database to gather relevant facts, and draft response letters subject to final review by department counsel
- Review and prepare responses to BBB consumer complaints
- Calendar meetings, deadlines, events, and coordinate with other MD personnel
- Post job listings for law clerks at local law schools
- Monitor departmental counsel’s assignments and deadlines
- Monitor law clerks’ assignments and deadlines
- Coordinate with other departments as necessary to facilitate legal department operational-related requests (i.e. computers, phones, printers, access levels, etc.)
- Facilitating strategic initiatives assigned by the General Counsel
2. Manage Outside Counsel Billing
- Coordinate, upload, and obtain approval for legal invoices and submit approved invoices to accounting department for payment
- Run reports and meet weekly with the General Counsel to coordinate outside counsel billing
- Maintain a litigation budgeting spreadsheet and outside counsel invoice spreadsheet with detailed invoice information and status
- Coordinate and follow up with outside counsel and internal accounting department as needed
3. Conduct Research:
- Perform legal research using LexisNexis (statute, case law, ethics opinions, etc.) and access PACER to obtain copies of briefs and cases as requested
- Utilize MDPS, MDCS, and MIDS to research client’s files and TCPA claims
- Update shared “States Regulatory Issues” folder with new development in each state (i.e., new complaints received or responses prepared) using a pre-determined naming convention
4. Communicate with Others:
- Communicate with attorneys and assist with discovery and fact gathering
- Communicate with the Accounting and Client Services departments to process client cancellations obtain copies of refund checks
- Communicate with the offices of Attorneys General and other regulatory agencies, as needed, to obtain response deadline extensions, etc.
- Communicate with courts, as needed, to obtain copies of court documents (dismissals, orders, etc.)
5. Travel Arrangements:
- Arrange flight, hotel and rental car accommodations for executives and attorneys
- Prepare schedules and arrange meetings for attorneys to tour/audit the office in person
- Conduct departmental tours of the office and meetings with managers for visiting attorneys and VIPs
6. Handle Routine Office Functions:
- Prepare expense reports for legal department personnel and track payments related to same
- Draft various memoranda and correspondence as assigned
- Maintain a legal department filing system for all hard copy files
- Maintain a shared drive/electronic filing system for all soft copy files
- Maintain adequate supplies (letterhead, envelopes, flash drives, copy paper, etc.) for legal department personnel
7. Organize and Coordinate Executive and Management Level Meetings:
- Schedule bi-weekly Executive Committee meetings and coordinate with executives as necessary
- Prepare agendas for regularly scheduled bi-weekly Executive Committee meetings
- Attend and prepare minutes of the bi-weekly Executive Committee meetings
- Order and arrange for delivery of lunch at all Executive Committee meetings
- Take minutes at special or non-regularly scheduled meetings at the request of the CEO
Knowledge, Skills and Abilities
- Perform legal research using WestlawNext and PACER
- Advanced knowledge of Microsoft Applications, especially Outlook, Word and Excel.
- Excellent written and verbal communication skills
- Good time management skills
- Ability to handle and use complete discretion in handling highly confidential projects, information and assignments
- Ability to work independently and exercise thoughtful judgment and initiative to assess situations as they arise and to determine the proper course of action or response
- Ability to think clearly and objectively by using analytical and problem solving skills
- Possess computer literacy to quickly learn new software applications
- Ability to conduct due diligence or internet-based factual research for the General Counsel and Assistant General Counsel
- Be a self-starter, self-reliant, and able to set and assert priorities and meet deadlines
- Ability to react to changing priorities
- Ability to type at least 65wpm
Education and Experience
- B.A. or B.S. preferred
- Legal background preferred
- Minimum 5 years experience of administrative, secretarial or legal support to high-level executives and/or attorneys
