Position
The Legal Assistant provides paralegal and administrative services for the legal team of the Company.
Responsibilities:
Board, Shareholder and other meetings as required
- Arrangement and co-ordination of the eight annual Board meetings, additional ACD and Policies committee meetings and annual general meetings
- Circulation of all the meeting invitations
- Co-ordination and preparation of Board materials
- Compiling the Agenda, following up on action items for Board meetings and ensuring Board materials are in order for the meetings
- Filing and management of Board papers and minutes
Company secretarial
- To co-ordinate company secretarial matters referring to the latest Companies Act
- To make Companies House filings as required, such as the annual return and director registrations/resignations, change of address etc.
- Maintain the Company Register of Shareholders and Directors; public and non-public versions
- To co-ordinate any other corporate and regulator filings as required
Document management
- To maintain a transparent and up-to-date document database and filing system
- Assist the Company with legal document queries and helping them to complete document approval forms
- Providing Auditors with all the documents required and answering any queries
Paralegal support
- To assist with the drafting, revision and execution of legal documents
- Circulation of current Prospectuses and maintenance of the current documents on the shared drive
- To assist with any ad-hoc matters as required such problems with word-processing or formatting on MS Word and general administrative support.
Fund registrations of Dimensional’s funds
- Research on overseas registration requirements
- Preparation and collation of documents for submissions for registrations
- Meeting any ongoing filing requirements such as submissions of annual and semi-annual accounts, updated prospectuses etc.
- Maintenance and updating of registrations such as the annual application update in Chile
Qualifications:
- Bachelor’s degree; additional legal qualifications will be advantageous
- 2 years corporate experience; preferably in the financial services industry
- Strong communication skills (verbal and written)
- Strong time-management and organisation skills
- Detail oriented with good analytical skills
- Independent thinker with positive team player attitude
- Self-starter who is capable of managing multiple projects and meeting deadlines
- Proficient in Microsoft Office and document management systems
