The Office of the Secretary provides for effective governance of the Firm, serves as a central repository of legal, regulatory, and shareholder data, and supports the ethical conduct of business through the Code of Conduct. Structure: LC is organized around Practice Groups that largely conform to the organization of the Firm's Lines of Business and Corporate Staff. This alignment allows the legal and compliance staff to work closely with the lines of business and staff areas on a daily basis. Legal Department Matter Management Tools : LC uses an internally-developed matter management and outside counsel management application called GOLD (Global Online Legal Database). GOLD helps JPMC attorneys efficiently manage legal matters and select outside counsel, and provides a basis for the tracking and reporting of legal fees and related expenses. The e-billing application used in JPMC to receive and process outside law firm invoices is a vendor based product from DataCert called AIMS. Position Summary. This position is a part of the Information Resources group within LC. This group has responsibility for coordinating all information resources for LC globally, including assessing, prioritizing, and managing technology needs and projects, the LC library function, and the LC intranet site and policy repository. This position will manage the Matter Management support team (known as GOLD Support), supporting all users of GOLD and AIMS. Users of these tools include all levels of Legal Compliance professionals, JPMC Sourcing professionals, and outside law firm attorneys and billing administrators. The matter management team works closely and is co-located with the Legal Billing Unit team. In addition, this position will support projects related to JPMC's GOLD (Global Online Legal Database) system for matter management and outside counsel management, and the AIMS system for e-billing. GOLD and AIMS are managed through coordination with Corporate Technology, an external technology vendor, and internal stakeholders. Position Summary: Key Responsibilities: - Manage a small team of analysts who provide email and phone support to internal attorneys, paralegals, and other LC employees as well as external law firms (outside counsel) for JPMC's matter management system. - Manage call/email tracking process to be simple and efficient, and deliver necessary data for reporting. Use reporting to identify service gaps through call/email tracking and quality surveys, then develop action plans to address and implement changes. Measure success and refine as needed. - Document team processes, procedures, and service levels. - Manage dissemination of information about use and functionality of the Global Online Legal Database (GOLD) to outside counsel and internal employees. Will oversee internally-developed training materials and communications about the tool and coordinate content and delivery of quarterly bulletin to law firms using eBilling platform with external technology vendor. Will also oversee LC Web site content updates about GOLD and Outside Counsel initiatives. - Provide project management for projects related to GOLD and AIMS, developing a fundamental understanding of both applications. Coordinate closely with Legal Billing Unit, Sourcing, and LC Technology to manage key projects, share information, and streamline processes. - Partner with external technology vendor responsible for eBilling platform to refine rules and functionality. - Prepares, maintains, and manages to Project Plans, Issue Logs, and other project-related documentation. - Identify project risks and issues. Follow up to achieve resolution for issues. Develop collaborative relationships with the Legal Billing Unit and Sourcing to enhance the inter-connected processes and information flow to improve functionality of the matter management tools. - Manage GOLD quarterly release requirement gathering, lead UAT with stakeholders, and escalate issues. Bachelors degree Prior management experience Strong project management skills Mastery of MS Office Suite and strong technical skills (Sharepoint knowledge preferred) SQL Experience (i.e., writing queries to extract information from databases) Strong communication skills, both written and verbal Strong leadership abilities, including process analysis and management of team projects. Strong partnering and relationship management skills: ability to interact well with all levels of employees and outside legal vendors Excellent organizational skills and attention to details Working knowledge of Legal Spend Management philosophy. - Preferred Working knowledge of Electronic Invoicing System (i.e., eBilling) vendors and software. - Preferred J.P.
