Suzuki is seeking a Logistics Specialist in its Brea, California Headquarters.  Responsible for coordinating the movement of Suzuki (containerized) product from importation into the U.S. to warehouse storage and distribution facilities throughout the country.  This includes maintaining a database of incoming vessels, coordinating product distributions, and shipment tracings.  Responsible for all freight damage claims for containerized products.  Related tasks include: Vessel record maintenance, freight bill verification, and overall monitoring of the freight process

 

Primary Duties and Responsibilities

  1. Supervise Vessel and Port Operations as it applies to product movement - Monitor vessel arrival.  Oversee CFS loading schedule on a daily basis and change their schedule to conform to ASMC distribution requirements.  Oversee container movement to the freight station on a daily basis.  Monitor online ASMC PierPASS and Port Check accounts and work with the freight station to keep container records accurate.
  2. Manage the movement of Containerized Product from Port to Warehouses       - Manage the movement of trailer and containers to each public warehouse facility, parts distribution center and SMAC.  Ensure that the product is moving according to schedule and routing.  Work with warehouses to affirm proper and timely receipt of product.  Analyze the movement of product and provide weekly summaries of carrier performance.  Ensure ASMC SCA system is checked daily to ensure that all transfer and distribution receipts have been properly received by each receiving public warehouse.  Maintain rate table.
  3. Manage Damage Claim Process - Administer the damage claim process.  File and collect reimbursement for all damage claims.  Assist dealers and other departments with claims.  Look for ways to reduce claims as well as maximize recovery.  Create and maintain a database of claims to ensure appropriate tracking and payment.
  4. Vessel File Maintenance/Review and Process Storage and Freight Invoices - File and record all pertinent vessel related documents.  Accurate and complete data must be included in each file for each vessel received.  This process should be completed within one week after receipt of all necessary data.  Review and process for payment all warehouse and freight carrier invoices related to the shipment of containerized product from port to warehouse.  Within two days of receipt, all bills should be reviewed and processed for payment.  Review and Process the weekly ASMC PierPASS and Port Check invoices.
  5. Maintain Motorcycle and Marine Import Report - Work with current factory production and shipping schedules to provide prompt reports to parties both inside and outside ASMC regarding incoming vessels.  Submit these reports as far in advance as possible prior to vessel ETA.
  6. Manage Communication of Vessel/Parts Distribution Records - Upon receipt of the vessel distribution documents for Motorcycle, ATV, Marine and Parts: ensure that all areas are complete, and that all necessary documentation has been secured to set up vessel file.  Ensure CFS has appropriate distribution schedules for all product lines.  Ensure “surprise” shipments are prioritized and handled in a timely manner.
  7. Inventory Control - Maintain daily communication with carriers and warehouses to ensure accurate inventory control.  Communicate by monitoring daily reports including: load confirmation from CFS, transit schedules with carriers, warehouse appointments and warehouse inventory receipts.  ASMC Parts Distribution facilities must be notified of freight destined to their location the day it is released from the CFS.
  8. Product Distribution Entry and Processing of Internal Orders - Accurately enter product distributions into the ASMC SCA system for Motorcycle/ATV and Marine vessel distributions.  Enter warehouse to warehouse transfers into ASMC SCA system for product originating from domestic plants (including SMAC).  Forward distribution schedules to each warehouse facility via electronic communication (e-mail) prior to vessel arrival or plant production.  Process and enter into ASMC SCA system all internal orders for major products.
  9. Compile Information For Special Reports Projects - Compile, analyze, and organize information for special reports and projects as requested.

MINIMUM QUALIFICATIONS

       WORK EXPERIENCE:

Strong administrative background required.  Prefer a minimum of two years experience in Logistics/Operations environment.  Preferably two years working in a supervisory role. 

       ACADEMIC/TRAINING:

Two years of college. Four year degree preferred.

       SKILLS:

Demonstrated experience in MS Excel, MS Access and MS Word.  Strong analytical abilities as well as the ability to work on several projects at one time under strict time constraints.  Excellent communications skills are required for this position. 

PHYSICAL REQUIREMENTS:

Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, and to attend meetings at various sites within and away from Brea location; strength to lift and carry material weighing up to 40 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone.  Must be able to multi-task in a fast paced working environment.  Ability to work under pressure and deadlines.
