Employment is with the Research Foundation of SUNY, a private, nonprofit, educational corporation that administers sponsored program activity for the University at Albany.
Description of Duties:
The Mail Room Clerk duties include but are not limited to: Provide mail and special delivery package services for the College of Nanoscale Sciences and Engineering (CNSE) and its corporate partners. Liaison directly with CNSE corporate partners ensuring for the appropriate delivery of mail and special delivery packages. Adhere to the procedures of mail services with a strong focus upon service delivery and security. Work with the Shipping Receiving staff in the completion of site-wide receiving and shipping services.
- Receive, screen, process, deliver, mail and packages per CNSE requirement.
- Interface with United States Postal Services (USPS), special delivery services, corporate partners and CNSE personnel to handle movement and delivery of mail and packages in a professional manner.
- Use knowledge of Mail Center protocol to research ownership of mail and packages. Research locations to which and to whom delivery is to occur using knowledge of corporate partners and CNSE personnel and on-line resource.
- Open mail and/or packages to determine addressee if unknown. Effectively unpack, examine to maintain integrity of mail/package. Examine contents and compare with personnel records to verify accuracy of incoming mail/packages.
- Appropriately route the mail/package by notifying the recipient, especially for special delivery. Deliver mail/ packages as required. Accurately record receipt of special delivery mail/packages as required.
- Sign for special delivery mail and packages as required and per corporate agreement. Maintain documentation of transactions.
- Sort mail and packages by hand, with each item being picked up, its address read, and the mail item placed into its proper distribution box for delivery.
- Contact receiver of mail concerning any issues with the mail or package (i.e. envelope, packaging appear to have been opened in transit; damage to mail piece, etc.).
- Ensure for the vetting of delivery drivers and maintenance of records for same.
- Maintain working knowledge of corporate partners, CNSE Community and their contact information. Provide periodic update of CNSE and corporate partner contact information.
- Maintain operational hours as required to ensure for appropriate service delivery.
- Work around road closures and detours to maintain delivery routes and schedules.
- Fulfill the duties of the SR function as directed by supervisor.
- Other Reasonable duties as assigned.
- Additional reasonable duties as assigned.
Minimum Qualifications:
The successful candidate is a fully competent and experienced in all aspects of the assignment and capable of independent and group functioning.
- Mail Center Processor must be mature, responsible, and emotionally stable.
- Possess and maintain a current New York State vehicle operator’s license.
- Demonstrate an ability to operate computer technology and software specific to mail and SR operations, typical office equipment (i.e. Microsoft Office products, i.e. Outlook, Word and Excel).
- Capable of walking, running, standing, climbing, reaching, sitting, bending, and pushing/pulling, completing repetitive motions, capable of lifting 50 lbs.
- Be capable of working in adverse weather conditions; endure heat, cold, noise exposure.
- Possess excellent people skills/customer focus and a commitment to team work, an ability to manage and prioritize multiple assignments; demonstrate initiative and be adaptable to change.
- Capable of reading and correctly interpreting policies and procedures. Must be able to decipher fine print on package labeling.
- Demonstrate an ability to read, write and speak English. Possess excellent communication skills, verbal and written.
- Possess strong initiative; must be capable of independent work.
- Ability to provide creative ideas with solid implementation.
- Ability to anticipate change and provide appropriate action plans to mitigate.
