We currently have an opening for a highly motivated, results oriented Mailroom Services Coordinator.
Primary job functions include overseeing all mailroom activities as described below:
Essential Functions:
- Responsible for multiple daily mail pickup and delivery for all floors within CDI Philadelphia Center City offices at 1717 Arch Street and Ten Penn Center
- Collects, sorts and distributes all incoming UPS, FedEx and other overnight service packages
- Provide Federal Express shipping service using the FedEx Powership system
- Provide UPS shipping service
- Process and record transmittal of stored documents with the off-site storage company
- Distribute incoming storage boxes from off-site company
- Operate postage machine and metering daily mail
- Maintain inventory for mailing, copy paper and coffee station supplies
- Restocking copier paper at copier areas when needed
- Replacing toner in copiers, printers and fax machines as requested
- Provide photocopying services (including distribution of booklets and pamphlets)
- Assist with ordering office supplies and maintaining inventory
- Collect and maintain monthly meter readings of copiers at CDI offices and forward to supplier
- Coordinate all pickup and delivery of Iron Mountain off-site storage boxes
- Maintain log book for AV equipment requests including delivery and pickup of the equipment
- Handle employee office/workstation signage
- Switchboard operator back-up
- Perform cost comparison and analysis for vendor services as needed
- Process monthly invoices for payment
- Order postage machine and mailing supplies
- Participation in projects for other departments if needed
- Assistance with making travel reservations through CDI’s reservation system
- Assistance with creating holiday greeting card listing, printing labels and mailing cards
- Helping create files and keeping them updated, such as event files, Board Books, Annual Report files
- Ability to lift/move up to 50 lbs.
- Other duties as assigned
Minimum Requirements/Preferences:
- High School diploma or equivalent with related experience helpful
- Must have basic knowledge of Microsoft WORD and EXCEL
- Must be professional, reliable and dedicated
- Ability to coordinate multiple projects simultaneously
- Creative thinker/problem solver
- This position can be very busy and you may be on your feet a good portion of the day
