J.M. Waller Associates, Inc. offers environmental, engineering, construction and facility management services to government and commercial clients across the U.S. and around the world. We are seeking an Management Assistant to provide day to day office management and administrative support.
Description:
- Provide required support to the DPW division performing and coordinating an office’s administrative activities and storing, retrieving, and integrating information for dissemination to staff and clients. Serve as information and communication manager for an office; plan and schedule meetings and appointments; manage calendar for conference room; organize and maintain paper and electronic files; management projects; conduct research; and disseminate information by using the telephone, mail services, Web sites, and e-mail:
- Consolidate data into appropriate spreadsheets, forms and or other documentation as required.
- Manage all action items, suspense’s, taskers and handle the document tracking and routing for the command group communication.
- Manage Personnel time and attendance documents (Leave, Overtime, Comp, Travel Comp, Use or Loose Leave, Leave Donations).
- Maintain an employee Personnel record system.
- Assist DPW leadership with Civilian Personnel Evaluation Reports.
- Create Federal Express shipping documents and Customer Support System (CSS) tickets. Manage, research discrepancies and reconcile billing activity for Federal Express transactions.
- Conduct research, schedule, monitor and coordinate funding for required DPW Personnel training, (ENBOSS TeamTrack, USACE PROSPECT, Professional, Mandatory, etc).
- Responsible to input and digitally sign trip requests and claims for reimbursement in the Defense Travel System (DTS) on behalf of a traveler.
- Electronically monitor US Army owned vehicles with fuel cards and GPS tracking to ensure compliance with law and regulations.
- Track GFEBS individual roles and required classes for assigned roles.
- Arms Vault Certification Manager ensuring certifications are current and any required testing is completed.
REQUIRED EDUCATION, SKILLS and EXPERIENCE:
- Required to use a variety of office equipment, such as fax machines, photocopiers, scanners, and videoconferencing and telephone systems.
- They will often use computers to do tasks previously handled by managers and professionals; they will create spreadsheets, compose correspondence IAW Army Regulations
- Manage databases and create presentations, reports, and documents using desktop publishing software and digital graphics.
- Maintain and examine leased equipment; coordinate all office moves, telephone and LAN changes, purchase supplies manage areas such as stockrooms or corporate libraries, and retrieve data from various sources.
