Manager, Executive Administration – Executive Assistant to the President & CEO Job in Louisville 80027, Colorado US

Serves as the Executive Assistant to the CEO, and as the Manager of administrative staff that support the executive management team of GHX.  Will coordinate, oversee, and perform a wide variety of highly visible administrative activities, and is regularly required to resolve complex administrative problems independently.

 

The ability to interact with staff (at all levels) in a fast paced environment, while remaining flexible, proactive, resourceful, efficient and positive is crucial to this role. 

 

Will possess demonstrated initiative and attention to detail, as well as possess a high level of professionalism and discretion.

Principal duties and responsibilities:

·         Provides administrative support to the CEO, to include managing a complex schedule/calendar;    scheduling and maintaining domestic and international travel itineraries, and negotiating complex scheduling issues; screening and handling telephone communications; greeting and directing visitors; and dealing with administrative problems and inquiries, as appropriate.

·         Liaison, support and key point of contact for the Board of Directors and their assistants. Strategically schedules individual and team calls.

·         Serves as a liaison with other departments, all levels of management.

·         Schedules, organizes and supports complex activities, such as international meetings and conferences; arranges appropriate audio/video equipment, meeting room reservations, and manages materials, agenda and food, as needed.

·         Prepares and manages CEO expense reports, submitting to Accounting in accordance with GHX policy.

·         Organizes special events, scheduling and coordinating dates and times, venues, attendance, agendas and facilities.  May include budget management responsibilities.

·         Supports the CEO through the creation, modification, editing and preparation of documents, to include transcriptions, correspondence, memos, charts, tables, graphs, presentations, special reports, etc.  Verifies accuracy and clarity of final product.

·         Researches information, compiles statistics, and gathers and computes various data; prepares special and/or one-time reports, summaries, presentation, or reply to inquiries, selecting relevant data from a variety of sources.

·         Proactively anticipates administrative needs, and makes informed decisions in regard to priorities; analyzes situations carefully, recommends solutions, adopts effective courses of action.

·         Serves as key point-of-contact for ensuring company policies and procedures are followed throughout the executive administrative team.

·         Responsible for selecting, developing, directing and effectively managing the performance of the executive administrative team.

·         Assists in the coordination, supervision and completion of special projects, as appropriate.

·         Performs other job related duties and responsibilities, as assigned.

·         Must demonstrate a high degree of professionalism, initiative and independence in supporting the CEO on a wide variety of complex issues.

·         Excellent interpersonal skills to handle sensitive and confidential situations.  Position continually requires demonstrated poise, tact and diplomacy.

·         Internet savvy with above average proficiency in Window and Microsoft Office applications (Word, Excel and PowerPoint).  Expert level in the usage of MS Outlook.

·         Ability to interact and communicate with individuals at all levels of the organization.

·         Demonstrated team player who is resourceful, reliable, responsive, flexible, organized and detail-oriented.

·         Ability to follow through on projects, juggle conflicting priorities and multiple tasks and maintain confidentiality.

·         Excellent time management skills.

·         Must be able to act proactively and independently to resolve issues.

·         Ability to exercise independent judgment and initiative.

·         Proficiency in providing direction and leadership to the Executive Administrative Team.

Required Qualifications:

·         Associate degree and/or equivalent experience, plus a minimum of five (5) years’ experience in a high-level administrative role, preferably in a high-tech environment.

·         At least 3 years’ experience managing an administrative staff.

Preferred Qualifications:

·         Bachelor’s degree preferred.
