Manager, Housing, Registration Travel

Position Summary Provide for a seamless process for Retailers, Associates and Exhibitors to register and obtain hotels for Markets prior to and on-site at Market. Determine strategic location for Market Hotels and negotiate best possible rate and contract for those hotels mitigating any liability for the company. Identify possible locations for and negotiate hotel discounted rates for transient hotel rooms throughout the United States. Work with outside travel provider to ensure "best in class" services and pricing and to establish and monitor a seamless, easily accessible travel tools for associates to assure usage and compliance with corporate travel policy. Establish, monitor and maintain budget for outside services provided to accomplish these requirements. Position Description - Strategically determine hotels for markets by analyzing data from past Market usage, rate availability and shuttle needs at each site. Negotiate contract terms mitigating legal liability for the company. Negotiate rates for those hotels assuring an appropriate number of rooms for retailers and exhibitors and appropriate number of reduced rate or complimentary rooms to house associates. - Through RFP process, determine outside supplier of registration and housing program and services for Markets. Work with supplier to provide for all necessary programs, equipment, supplies, reporting, staffing to accomplish pre-Market registration, Market Credentials, housing process and on-site process at Markets for Retailers, Associates and exhibitors. Establish all budgets and time lines for these services. Review and approve all invoices and track against budget. - Establish requirement, solicit bids and select suppliers for temp help, scooter rental, restaurant/show/park tickets at markets. Communicate all needs prior to Market and on-site at Markets. - Through RFP process, provide for shuttle service at Markets, establish budgets for each market and manage selected vendor for these services. Coordinate shuttle needs based on hotel usage at each location. Review and approve all invoices for services and track against budget. - Evaluate need for transient hotel discounts for Associates, strategically source those needs, negotiate rates and contracts and communicate those locations to the company. - Manage housing/registration coordinator, establish goals, set priorities, evaluate performance. - Establish process and manage registration for Charity Classic for the Foundation. - Manage corporate travel program to assure compliance with corporate policy, maximizing negotiated discounts for air, car and hotel reservations. Review performance of our preferred suppliers and periodically go out for bids to assure we are receiving best possible discounts for our business volume. Review performance of our travel agency partner, review and process payment for all invoices for services. Periodically review policy and recommend changes to keep down travel costs and stay in line with industry standards. Direct Reports: - Coordinator, Housing Registration
