Markets – Event Coordinator/ Executive Assistant recruitment

Markets – Marketing and Communications team is responsible for managing a range of bespoke events, corporate hospitality, sponsored conferences and Deutsche Bank hosted conferences. The team work closely with all product areas and management to create and implement strategic events and conferences that best leverage opportunities in line with specific business objectives of the Markets division.

Overview of the role
We are seeking a high calibre individual to carry out the combined role of Event Coordinator and Executive Assistant to the Head of Markets. This combined role will work within the Marketing team in the Markets division assisting the Event Manager with a range of bespoke events, corporate hospitality, sponsored conferences and Deutsche Bank hosted conferences. The team work closely with all product areas and management to create and implement strategic events and conferences that best leverage opportunities in line with specific business objectives of the Markets business.

Approx two days per week will be spent as the Sydney based Executive Assistant to the Heads of Markets Australia and New Zealand / Head of Asia Pacific Fixed Income, Currency and Commodities whilst he is in Sydney. Throughout the week you will also liase with him on a daily basis whilst he is travelling.

To succeed in this role you will be proactive, well organised and able to demonstrate the ability to maintain relationships across all levels. You will be resourceful and proactive in your approach, exercising judgement whilst being able to work independently and within a team. You will have previous experience working within similar organisation, professional services or commercial business and be able to adapt to the fast paced environment. It is essential that you have excellent communication skills, have a confident and assertive manner and a “can do” attitude.

Responsibilities:
• Highest degree of confidentiality required. You will be dealing with extremely sensitive information on a day to day basis
• Delivering and assisting on client events and conference programs
• Working with internal stakeholders to ensure events both support and enhances our client relationships and brand reputation
• Managing divisional Marketing Calendar
• Diary management with the ability to control a diary which operates in different time zones.
• Managing the head of markets inbox.
• Effective management of international travel bookings including accommodation, car transfer visa requirements.

Event Management
• Managing a variety of client events from beginning to end
• Work with the in-house design team on print web design for event collateral
• Assist onsite with events
• Budget reconciliations and updating the Events Cost Database
• Sourcing and developing promotional material and merchandise e.g. client gifts, conference giveaways
• Production and posting of marketing posters as required

Administration
• Processing of invoices
• Managing divisional Marketing Calendar

Requirements
• Minimum 4 – 5 years Event Coordinator experience in a corporate environment (Mandatory)
• Previous experience supporting a senior level executive in a PA/EA role would be an advantage
• The ability to use your initiative and work with a high level of professionalism and confidentiality
• Expert written and verbal communication skills
• Strong decision making ability and attention to detail
• Advanced skills with Lotus Notes and Outlook
• Extensive experience with MS office including MS Word, MS Excel PowerPoint
• Experience of effective management of multiple projects and the expectations of key stakeholders
• Superior organisational skills
• Demonstrated skills in negotiation with internal and external stakeholders/suppliers
• A sound knowledge of venues, caterers and other relevant industry contacts/suppliers
• Able to deliver to timelines and within set budgets
• Ability to work independently and as part of a team
• Comfortable liaising with all levels of management
