MATERIAL CONTROL ADMINISTRATOR / RECEPTIONIST

Qualifications

·         Familiar with AS400.

·         Must have computer experience using windows operating software, Word-processing spreadsheet software, including basic formatting and formulas.

·         Good typing skills, minimum 50 wpm.

·         Must have excellent communication, organizational skills (both written and verbal) and be capable of working independently.

·         Must have experience operating a busy switchboard and experience in using a paging system.

·         Previous business education/experience and or APICS education would be an asset.

·         Flexible work hours as overtime may be required.


 
Duties and Responsibilities

·         Enters data into material control systems as directed by supervision; ensures 100% accuracy at all times.

·         Performs general word processing and form creation.

·         Prepares appropriate departmental letters to vendors, customers and internally sends and ensures receipts; files letters.

·         Sends routine letters / memos / reminders per schedule to suppliers.

·         Maintains a listing of current production PO.

·         Updates and distributes all lists including supplier POs, supplier lead-time, suppliers, customer window times, holiday schedule, phone lists, coating lists, etc... and ensures they are up-to-date at all times.

·         Runs MRP; Send EDI / Fax releases to suppliers and ensure EDI / Fax confirmation.

·         Sends and ensures receipt confirmation for any revised releases same day as requested by Release Analyst.

·         Run routine reports and queries as per schedules.

·         Modifies weekly SRS ratings as instructed and send out reports.

·         Participates in WEB EDI and EDI ASNs. Work with Receivers and IS department to resolve the related issues.

·         Issues and summarizes SPPR reports for management review.

·         Updates continuous improvement graphs and other department measures on a monthly basis.

·         Identifies opportunities and participates in continuous improvement of material process.

·         Continuously strive to improve through self-development.

·         Assists in miscellaneous shipments as required.

·         Receives and directs incoming calls and page when necessary.

·         Opens and distributes mail.
