Medical Management company in the Optical/Ophthalmology/Optometry insustry is seeking a Practice Manager to support our operations. The Practice Manager will be responsible for the work flow, performance and overall management of all practice operations within the assigned region ensuring expert care, outstanding patient service, efficiency, and optimization of practice staff/doctors.
Responsibilities include:
- Personnel Management – Assume overall responsibility for region personnel management and staffing including Front Desk, Back Office, Techs, Opticians, etc. within the locations.
- Determining staffing standards based on patient care needs, patient flow, medical acuity, standard operating procedures, staff skills and clinic needs
- Supporting interview, selection and the hire of new team members
- Coordinating and/or monitoring orientations of all new team members
- Working with human resources to assure compliance with each state requirements for team members;
- Fostering productive practices which reflect excellence in the delivery of patient care
- Developing, maintaining and periodically reassessing staff education programs
- Supporting staff time and payroll records with payroll department
- Assisting and supporting evaluation of staff performance, developing standards, ensuring basic competencies for all staff.
- Leadership
- Establishing credibility and a strong presence in the region
- Establishing expectations and model behaviors that demonstrate service excellence to the team and focuses on the patient as the primary client

- Operations
- Developing a schedule system for personnel staffing that works in conjunction with the Staffing Coordinator
- Developing and optimizing the doctor templates for appropriate patient scheduling
- Developing a system to track doctor usage and utilization of space to ensure space and personnel resources are optimized
- Supporting and facilitating referral management processes
- Developing protocols to improve care for acute/urgent patient problems
- Developing protocols and creating standards for telephone calls to and from patients;
- Developing, monitoring and saving data on critical performance indicators and key performance indicators for the region by producing monthly reports
- Financial and Administrative Accountability
- Management of region operational and capital budget and administration
- Evaluating, specifying and recommending equipment and/or tools for operations and patient care assigned region
- Developing a system for monitoring clinic utilization, workload vs. billing, and individual provider productivity for doctors on a monthly basis
- Working with the finance team to refine and monitor the charge-master
- Working with the finance team to create policies and procedures for use of the charge-master
- Working with the finance team to ensure that fee tickets have current CPT and ICD-9 codes
- Assisting in the coordination of policies and procedures with managed care programs
- Acting as a resource to the doctors, practice staff and business office staff regarding coding questions; provide regular in-services to doctors and practice staff
- Assuring fee tickets are submitted on a daily basis and are accurately completed. Creating a system to monitor delinquent fee tickets, as well as a plan to troubleshoot
- Coordinating information regarding changes in insurance regulations with the finance team; investigating codes in which insurance companies disallow payment; and corresponding with third-party payers and provide information as necessary to obtain payment or determine appropriate reimbursement level
- Providing random chart audits for doctors to ensure coding accuracy
- Assisting with insurance billings and processes, including claim submissions and postings
- Assisting with the credentialing of all doctors
- Strategic Planning and Program Coordination
- Assessing current state of division with regard to existing goals and plans
- Performing SWOT analysis and yearly environment evaluations
- Developing a system for analyzing financial risks/rewards of procedures and services performed
- Developing a region specific referral management database to track and monitor referring providers
- Assisting with development of business plans for new programs and other strategic initiatives for the region
- Operating within the business plan or strategic initiatives, including budget and marketing plans, promotions, public relations and advertising
- Writing and/or overseeing advertising copy and patient education brochures
- Creating region task plans with resource identification, role descriptions, and steps of action based on timelines and a delivery schedules
- Contributing to strategic planning, proactive interdepartmental problem solving and policy development
Qualified applicants will have a background in the Optical, Ophthalmology, or Optometry industry.
Five (5) years of related experience in a management capacity
Bachelor's Degree in Retail or a related field.
COT (Certfied Optical Technician) preferred.
