We are currently seeking a Mutual Fund Services Administrator to join our Mutual Fund Services Team.
Summary:
The Mutual Fund Services Administrator is responsible for the periodic production, updating and distribution of the Oakmark Funds’ shareholder communication materials generated by the Mutual Funds Services Group. Responsible for ensuring that these materials are current, accurate and distributed on a timely basis. Assist with vendor oversight to ensure that Oakmark shareholders are provided with the highest level of service. Other responsibilities include various operational and administrative duties related to the Funds including processing transactions and service requests for certain Fund shareholders.
Duties Responsibilities:
- Responsible for the periodic updating, production and distribution of the Funds’ shareholder communication materials, including shareholder reports, prospectus, summary prospectuses, IRA CESA booklets, and new account kits. Ensure that all materials are produced on a timely basis and meet all regulatory requirements.
- Responsible for coordinating the production of periodic Managers’ letters to the shareholders.
- Oversee the updating, production and distribution of marketing materials, including inserts, sales kits and welcome letters.
- Assist with the oversight of the Funds’ print vendor (Merrill) to ensure that shareholder materials are current, accurate and distributed on a timely basis.
- Ensure that all shareholder applications and forms are current and meet all regulatory and processing requirements.
- Manage the outside vendor (BFDS/DST) in the periodic updating of the Funds’ online account access site (FANWeb).
- Assist in updating of the Funds’ website (Oakmark.com). Ensure that website postings related to the Mutual Funds Services Group are accurate and posted on a timely basis.
- Assist with processing, monitoring and maintaining records of service (e.g. address change, interested party, etc.) and transaction requests from Harris high net worth clients, adviser accounts, Harris employees, and other Oakmark shareholders.
- Perform general day-to-day operational and administrative duties within the Mutual Fund Services Group as assigned.
- Ensure that written procedures for which this position is responsible are current.
- Participate in Mutual Fund Services projects to ensure successful completion within the designated timeframe.
Qualifications:
Required:
- Bachelor’s Degree
- 2 -5 years of related industry experience
- Proficient in Microsoft Word and Excel
- Exemplary customer service skills, including verbal and written communication
- Strong organizational skills, attention to detail, and high degree of initiative
- Ability to meet deadlines and prioritize multiple tasks simultaneously
- Ability to assess, explain and solve complex problems
Preferred:
- Academic major in Business, Economics, Finance or related field
- Experience working in a financial services operations capacity
- Experience in the communications/marketing field, particularly in the area of web design
- Experience in project participation or management is desirable
Key Organizational Relationships:
This individual will interact with various levels of personnel within the Firm as well as significant interaction with the Transfer Agent and other vendors supporting the Funds.
