National Account Portfolio Coordinator Job Scope: Provide administrative direction and process support to National Accounts Manager and Assistant National Accounts Manager. Description: Deals with a diverse group of important internal and external contacts at all levels of the organization. Independent judgment is required to plan, prioritize and execute a diverse workload; recommends changes in associated practices or procedures. Individual?s performance will be evaluated based upon, but not limited to, achieving position goals and objectives, assisting in meeting goals and objectives of this Schedule and providing quality customer service to Aetna. Essential Functions: * Assists with the preparation, creation and development of client and prospect presentations. (i.e. PowerPoint presentations, handouts etc.) * Performs approved client special projects. (i.e. financial analysis, client meeting events etc) * Coordinates various projects for assigned National Account Portfolio Management, including: planning and coordinating proposal processes and presentations, disseminating information, coordinating direct mail campaigns, etc. * Assist in managing, coordinating and ensuring the timely execution of the National Account service delivery process in conjunction with National Account Portfolio Managers Management. * Coordinates and monitors invoicing processes and account set up for all Accounts to include any specialized billing requirements; works with the National Account Billing supervisor to achieve results. Additional Responsibilities: * Assist National Account Portfolio Manager and clients in preparing budgets and forecasting financial costs for services. * Prepares general correspondence, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes and producing final copy for approval. * Work with all levels in the organization, including high level staff such as Division Presidents and VP/GM to identify, analyze and solve problems and create opportunities for continuous improvement. * Assist in the preparation of information and data for Quarterly Business Reviews. * Assist District offices client in the resolution of significant accounts receivable issues as requested or required. * Ability to audit and analyze the compliance of service deliverables for National Account Portfolio Management. Consolidate key financial information. Qualifications: Education required: HS Diploma ___ Associates Degree _x__ BS/BA _x__ Accredited University preferred Is experience in a specific field or market required? Yes Minimum 3 years of experience in a business service environment coordinating the timely and positive delivery of services to clients and prospects. Minimum 1 year of security industry experience a plus. Are specific certifications required? No Other requirements or competencies: Excellent oral and written communication skills. Proficiency in Microsoft Office Applications. Some knowledge and experience with the use of quality and/or continuous improvement tools, techniques, practices, etc. Ability to work in a team oriented environment and to help identify and solve problems. Ability to get along with other employees and follow directions. Ability to deal with internal and external customers and to ensure compliance with contract deliverables and perform Multiple tasks simultaneously in a timely, courteous and professional manner. Ability to maintain confidentiality of all information and data. Ability to work a flexible schedule and to work evenings, weekends and holidays as requested or required.
