Office Administrator

International Bank based in the city of London is looking for an office assistant to look after 3 directors and a small office.
We are looking for an ambitious and professional individual able to work independently and pro-actively for and with Executive Team. This individual must have extremely good organisational and communication skills and must be able to work in a highly pressured environment.
Your main responsibilities will be:
• Providing support for the management team.
• Meeting and greeting visitors
• Ordering stationary
• Booking travel and creating itineraries.
• Coordinating meetings and company events
• Preparing presentations and organising board packs
• Completing expenses, filing and scanning and also being the go-to-person within the office
• Opening, sorting and distributing mail throughout the day.
• Typing, printing, photocopying and general office requests

The right candidate will have the following attributes and experience:
• 2 years minimum of office experience in a Financial Services firm.
• Advanced MS Office skills
• Excellent time management skills.
• Ability to communicate with senior level executives
• Highly literate and numerate, with excellent grammar and spelling skills.

You must confirm that all managers and teams reporting into you have established and maintained a clear apportionment of responsibilities amongst their staff such that each individual’s responsibilities and reporting lines are explicit. You should ensure that you formally document this and inform Human Resources about changes in responsibilities or reporting lines, as well as any changes to the organisational structure of your department.
Such documentation will be held by HR and will be subject to annual review by the Board. It is essential that we can demonstrate that we have formal evidence that we control our business from day to day actions up to Board level.
