FindLaw UK, an entrepreneurial business unit of Thomson Reuters, is the UK arm of the world’s leading provider of online legal information and Internet marketing solutions for law firms. FindLaw UK also runs the Contact Law service, the UK’s leading provider of client-solicitor introductions.

We are looking for a dynamic, efficient and approachable Office Administrator to join our fast paced, growing business on a part-time basis to work up to 27 hours per week (we are flexible on how the hours are split).

This role has responsibility for managing the day to day running of the office, more specifically:

Main responsibilities:

·         Facilitating smooth running of the office including service contracts, general maintenance, cleaning and provision of office supplies

·         Ensuring compliance with health and safety, fire regulations, building regulations and security; reacting to and resolving security issues with efficiency

·         Working with the Facilities Co-ordinator in planning and co-ordinating all office moves and desk space management

·         Supporting our Directors; scheduling meetings, providing quick responses, ensuring they are kept up to date on relevant matters and ongoing projects, ad hoc administrative support

·         Holder of company credit card; keeping record of Company expenditure and filing expense reports

·         Providing administrative support to Heads of Department, developing and implementing new administrative procedures

·         Keeping all company records and documentation up to date to include holiday and sickness records for 70+ members of staff

·         Dealing with all HR administration for new employees, conducting inductions and providing HR support in the initial stages

·         Organising and overseeing all company events on a quarterly and ad hoc basis

·        Being the “go to” person for any operational requirements

 

Ideal candidate will have:

·         Meticulous  attention to detail and methodical approach to their work

·         Ability to prioritise workload, multi-task and work to tight deadlines in a fast growing and constantly changing environment

·         Excellent efficiency, problem-solving and organisational skills

·         Ability to think on your feet and react quickly when needed

·         Clear and effective communication skills

·         Experience of arranging events end-to-end.

·         Ability to work with a wide range of people and cultures at different levels

·         Professional demeanour and good interpersonal skills.

·         Confident and comfortable handling details of a highly confidential and critical nature. 

·         Intermediate in Word, Excel and PowerPoint.
