General Summary:
Under the supervision of the Office Administrator, the Office Assistant in the Dallas Office requires proficiency in MS word, ability to type and prepare legal documents and correspondence, provide administrative support as directed to secretaries and attorneys, reception, office services and records.
Essential Duties and Responsibilities:
- Must be proficient in MS Word, capable of typing and preparing legal documents and/or general correspondence from a rough draft.
- Assist secretaries and attorneys with filing, both hard copy and electronic, by preparing subfile labels, creating file folders as requested, maintaining hard copy files, and scanning documents into electronic files as requested.
- Operate standard office machinery including copiers, printers, multi-function printers, fax machines and postage meter.
- Set up office webinars.
- Provide reception services by greeting visitors, setting up and cleaning up conference rooms, answering calls to the office's main telephone line and connecting callers to the appropriate attorney or staff member, receiving and recording deliveries, and maintaining the office conference room calendar.
- Provide catering services to the office by ordering food for meetings as requested by the Office Administrator, attorneys or secretaries.
- Provide office services by cleaning up kitchens, stocking drink cooler, loading and unloading the dishwasher.
- Pick up and sort daily mail and other deliveries; process outgoing mail by weighing mail, determining appropriate postage, and operating the postage meter.
- Regular and predictable attendance is an essential function of the job.
Knowledge, Skills and Abilities Required:
- Minimum education required is High School diploma.
- Ability to organize and prioritize numerous tasks and complete them under time constraints is essential.
- Interpersonal skills necessary in order to communicate with a diverse group of attorneys, paralegals and staff in person, by email and by telephone to provide information in an appropriate business manner.
- Ability to operate standard office equipment, including personal computers and laptops, printers, scanners and photocopiers, fax machines and telephones.
- Previous law firm and/or office work experience and/or familiarity with records management systems is desirable.
- Ability to retrieve and distribute files, push and pull carts of materials weighing up to 20 pounds and the ability to retrieve from and replace objects on shelves up to eight feet high.
- Work occasionally requires more than 40 hours per week to perform essential duties of the position.
