Office Manager- Luxury Auto Dealership Job in Dallas 75234, Texas US

Reports Directly to Management

·         Will open offices

·         Will maintain office standard throughout the day

·         Will supervise all day to day activities of the Title Clerk, therefore must be familiar with verifying VIN number, odometer reading, release of liens, “free and clear” titles- must not contain alterations, verification of titles for final accuracy, registering of titles at local tax office and mailing out of titles for in-state/out-of-state clients

·         Must diligently and respectfully act as a company liaison with banks/vendors, which will include possible pick-up of titles and/or checks from their offices

·         Must know, practice and ensure that company policies and procedures as well as state or federal laws are followed at all times

·         Must maintain knowledge of DMV laws and regulations as they relate to vehicle titles

·         Will coordinate all logistics for Management after vehicles are purchased

·         Will assist Management with all arbitration claims

·         Will assist Management with vehicle trade-ins, pay-offs and floor-planning through various nationwide auctions

·         Will assist Sales with telephone traffic and walk-ins

·         Must assist sales in obtaining additional client information in order to close a sales deal and assist in generating a vehicle buyer tag for the client

·         Must assist clients if sales staff is busy helping others

·         Must accurately review “deal jackets” for the Sales team to ensure accuracy and that all required paperwork has been completed and acquired from customers

·         Must follow-up with clients on their purchase experience and report any unfavorable reviews to Management

·         Will prepare “Quarterly” Sales audits and reports for Management

·         Will assist the “Finance Director” in reviewing/sending of documents

·         Must know all Microsoft Office applications

·         Will perform all office duties as assigned by management, to include….general clerical to complete certain contracts and transactions, ordering of all offices supplies, coordinating with all vendors/suppliers, organizing office lunches/events and greeting clients

·         Must demonstrate a friendly and professional demeanor to all clients as well as fellow co-workers. Client service must be prompt and courteous

·         Must be detail oriented in a very fast paced environment

·         Must be able to reconcile problems and dig for solutions

·         Must possess a positive attitude and be highly motivated

·         Must have a proven ability to multi-task and be very organized

·         Must be accurate and have excellent communication skills

·         Must demonstrate a friendly and professional demeanor to all clients as well as fellow co-workers. Client service must be prompt and courteous

·         Must practice and promote team-work at all times as well as set a good personal example of attitude and work performance

·         Must maintain working area and equipment in proper conditions to ensure company standards for cleanliness, maintenance and safety. Advise management of all needed repairs or updates.

·         Must have a clean personal credit record- NO major credit problems, driving record- NO suspended driver’s license or DUI/DWI accepted or criminal record- of any kind (background checks are fully enforced).

 

This position pays $15hr (to be paid on a bi-monthly cycle) work schedule is as follows: Monday thru Friday, 8:30am-7:00pm, Saturday 8:30am-4:00pm.
