Overview:

Under the direction of the New York Office Manager and Office Services Supervisor, the Office Services Assistant is responsible for a variety of tasks.

Responsibilities Include:

- Primary photocopier operator.

- Assist attorneys, paralegals and support staff with photocopying requests.

- Responsible for completing copy projects on time and accurately.

- Responsible for basic photocopier machine maintenance, i.e., changing toner cartridges, clearing paper jams, reporting Equitrac problems.

- Walk-Up Copy Room management - stocking machines with paper, clearing counter, keeping paper stock on shelves tidy.

- Sort and deliver US Mail, FedEx and inter-office mail.

- Package and process outgoing overnight items (i.e., Federal Express, UPS, US Mail, etc.) to meet deadlines.

- Gather confidential destruction documents for pick-up by Roseland office personnel.

- Shared responsibility for ordering, stocking and maintaining office supplies.
Prepare periodic, special, or perpetual inventory of stock - replenish velobind, three-hole punched paper and Federal Express supplies.

- Provide back-up conference room/meeting services when needed, i.e., make coffee, catering set-ups and break downs, cleaning/straightening up of conference rooms and visiting attorney offices, etc.

- Provide back-up of rudimentary technology services, i.e., computer laptop and projector set-ups and video conference set-ups.

- Follow shut-down procedures according to Firm policy.

Other tasks include:

- Delivering files and boxes

- Facilities maintenance projects

- Office moves

- Move or transport material or supplies to other departments.

- Upon occasion, conduct firm-related errands.

Experience Required:

- High School Diploma or equivalent.

- Must be computer literate and proficient in utilizing MS Word and MS Explorer, with the ability to master Internet-based office supply purchasing systems, etc.

- 1 - 2 years’ general office, clerical experience. Preferably in a law firm.

- Ability to work overtime every other week.

- Ability to interact effectively with internal client base, upholding a professional demeanor at all times and demonstrating an attitude of cooperation.

- An orientation to customer service and ability to work independently and as part of a team.

- Ability to lift heavy boxes and move furniture as needed.
