Facilities
Responsibillities:
Managerial
Manage the allocate staff (perm. temp.) in all its aspects including hiring, training career development, prepare and conduct performance appraisals semi-annually etc.
Finance
Office expenses: monitor and seek to reduce (e.g. negociations with vendors)
Budget: Input to PBA budget planning process, identify capital requirements, record quarterly PBA amounts
Stay within established PO budget during the fiscal year, capture accurate invoice data and make timely payments to POs.
Provide approvals to Lease Administration for the payment of rents
Experience:
5-10 years office management experience in a large corporation managing diverse and sometimes remote staff consisting of 5-10 employees.
Education:
Higher education degree. Ideally BA/BS in facility management, business
Certification through IFMA, BOMI desirable.
Job requirements
Experience in dealing with outside vendors, negotiating agreements and working in a sales office environment
Good interpersonal and conflict resolution skills
Excellent problem solving skills
Previous office procedures and property management responsibilities
Analytical skills
Responsiveness to customer requests/service issues
Good financial skills to manage, audit and reconcile accounts regularly
Ability to work independently with minimal supervision and handle multiple tasks
Excellent organizational skills and follow through on task assignments
Ability to manage workflow and delegate tasks to support staff as appropriate
Excellent time management skills, including the ability to respond to voicemail/email within 24
