JOB PURPOSE AND REPORTING STRUCTURE:
The Online Graduate Dean manages all aspects of graduate academic operations of the Online Campus. The position reports directly to the Vice-President Education of the Online Campus with a "dotted line" reporting responsibility to the Vice President of Academic Affairs and Institutional Effectiveness.
PRIMARY DUTIES AND RESPONSIBILITIES:
The Online Graduate Dean is an administrative position within the organization of the campus. The duties of the Dean are, therefore, of an administrative and supervisory nature and encompass all graduate courses taught at the campus. These duties and responsibilities fall into seven major areas: supervisory, administrative, instructional, curriculum, assessment, student satisfaction and retention, and professionalism. The specific duties of these areas are as follows:
SUPERVISORY:
- Provides direct supervision, where applicable, to the campus graduate faculty (through academic department/program chairs where used) and any other administrative staff assigned to the academic department.
- Provides dotted line academic policy guidance as needed for (1) online registrars through their supervisor, (2) online student services advisors through their supervisor, (3) online librarian through the Online Undergraduate Dean, and (4) online curriculum specialists through their supervisor.
- Establishes and monitors faculty and staff performance standards and goals.
- Conducts ongoing and annual performance reviews as outlined in the employee and faculty handbooks.
ADMINISTRATIVE:
- Responsible for establishment of online graduate class schedules in cooperation with Online Undergraduate Dean and in accordance with course requirements in consultation with the Campus President.
- Establishes online courses sections each term for all online graduate courses under the campuses responsibility.
- Assigns faculty members to class sections as needed.
- Assures that grades and records are submitted accurately and promptly in accordance with University's grading policy and procedure.
- Assures that class attendance is reported in accordance with the University's policy and procedure.
- Enforces the College's rules as published in the Herzing University Catalog, Faculty Handbook, Student Handbook and University Bulletins.
- Assists the Campus President in determining the need for and then acquiring computer resources, materials and supplies, textbooks and other materials that are to be used for instructional and learning resource purposes.
- Ensures faculty personnel files are maintained according to University policies.
- Responsible of the implementation and security of all of the University's final examinations
INSTRUCTIONAL:
- Manages the recruitment and selection of graduate teaching staff through establishing the requirements, reviewing applications and interviewing candidates. Ensures that thorough reference checks are done on all candidates.
- Administers and supervise faculty training, development, and promotion as outlined in the Faculty Handbook.
- Acts as the resource person for faculty working on the Faculty Development Modules or other faculty development materials.
- Regularly monitors quality of instructions through review of online student interaction in the online class section in online courses.
- Assists Undergraduate Dean in managing administration of student satisfaction surveys including (but not necessarily limited to end-of-course critiques, HAPPI surveys and the All- University Survey.
- Assigns graduate teaching functions in accordance with established workload norms, teacher expertise and teacher interests.
- Manages student internship and/or clinical programs that are part of the campus' graduate curriculum.
- Encourages a high level of faculty morale by being readily available to discuss with faculty their needs, questions and frustrations, and by promoting positive attitudes among the staff and the students of the Campus.
- Teaches an occasional course as needed to remain current in teaching or to meet schedule requirements.
- Holds regular meetings with the teaching faculty to keep them apprised of University policy and objectives as well as to share and search for solutions to common teaching problems that arise from time to time.
- Maintains a current database of faculty credentials, length of service, and experience related to their teaching area.
CURRICULUM:
- Assures high academic standards through the establishment of appropriate student evaluation mechanisms.
- Initiates local curriculum development activities in accordance with the University's curriculum development policy.
- Maintains and uses the campus' Advisory Committees for the purpose of curriculum and textbook review and direction.
- Maintains current course and subject outlines for all courses and subjects offered by the University.
- Manages the creation and maintenance of master course templates (including media enhancements) for all graduate courses offered by the campus.
- Keeps current with state/accreditation reporting requirements related to graduate curriculum changes and ensures appropriate materials are available as required to support any approval changes.
ASSESSMENT:
- Actively engages in and promotes student academic achievement assessment processes and procedures.
- Uses student academic achievement assessment data to improve instructional methodologies.
- Communicates with and partners in projects conducted by the Director of Institutional Research
STUDENT SATISFACTION AND RETENTION:
- Monitors student retention and satisfaction.
- Assists in developing action plans for improving student retention/satisfaction.
- Shares best practices for improving student retention/satisfaction with colleagues online and at other campuses.
- Interacts in a fair and impartial way with students.
- Listens to and evaluate student problems and concerns, counseling them within the norm of society and the regulations of the University.
- Mediates staff-student conflicts in a professional manner.
PROFESSIONALISM:
- Attends and begins meetings on time.
- Portrays a positive, professional image of and for the University at all times.
- Completes professional development activities as established through consultation with the campus President.
- Cooperates with all members of the campus management team and University staff.
- Assists the Campus President with other curricular and/or administrative duties as required.

QUALIFICATION REQUIREMENTS:
1. Must be capable of providing leadership and inspiration to faculty.
2. Must be highly structured and organized.
3. Must be sufficiently technically oriented to understand the technology objectives of the programs offered.
4. Must be capable of writing in clear and communicative manner and delivering organized, informative presentations.
EDUCATION and/or EXPERIENCE REQUIREMENTS:
1. Must have a minimum of a doctoral degree.
2. Must have three to five years educational management experience. Educational management experience in online education is a plus.
