Job Title: Operations Governance Assistant

SUMMARY: Provide staff support to the Executive Director and Deputy Executive Director by managing calendars, coordinating travel and other organization support as needed. Provides staff support for the OG department and carries out all departmental administrative duties including preparing meeting materials, filing, copying, mailing, and helping with meeting logistics.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
                                                

Executive Support
• Manage executive calendars and perform general administrative tasks for the Executive Director and Deputy Executive Director on a daily basis.
• Coordinate and schedule numerous conference calls, meetings, and appointments.
• Manage executive contacts and coordinate mailings sent on behalf of Executive Director and Deputy Executive Director.
• Organize and maintain files and records for the Executive Director, Deputy Executive Director and OG Department on an ongoing basis.

Committee Council Support
• Assist with projects related to the annual meeting, Council meetings, Committee on Committees meetings, and other committee meetings and special events as needed, such as material creation, meeting logistics, invitations, etc.
• Maintain volunteer records in Personify database, ensuring that all records are accurate and up-to-date, and to create invitation lists as needed.

Annual Meeting
• Assist with planning and logistics for various meetings and events prior to and during the annual meeting.
• Assist with the dissemination of invitations to the Presidential Reception and Awards Reception at the annual meeting, responding to inquires as needed.
• Prepare annual meeting itineraries and meeting materials for the Executive Director, Deputy Executive Director and President.
• Provide direct staff support to the Executive Director on-site at the annual meeting.

Awards
• Assist the OG Manager with the administration of the awards process including advertising the awards, staffing the selection committees, and handling appropriate correspondence with the award recipients in preparation for award presentations.

Departmental Support
• Perform general departmental administrative duties, including purchase requests, filing, copying, mailing, placing supply orders, handling travel arrangements, database entry, expense reports, etc.
• Use MS Office to produce letters, mailing lists, memos, charts, graphs, reports, presentations, labels, tabs, etc.
• Use Adobe Professional to produce e-books.
• Other duties as assigned.

GENERAL DUTIES:
• Provide support to the Manager and the Director of Operations Governance as appropriate.
• Serve as an engaged and involved team member, supportive of the varied experiences and perspectives of internal and external colleagues.
• Support and actively build an office culture dedicated to superior customer service that exceeds member expectations.
• Work with staff from other departments as well as VIPs and Society members, in a professional and confidential manner.
• Work within the team and among teams to ensure that decisions are made to further the organization’s goals.

SUPERVISORY RESPONSIBILITIES: None

QUALIFICATIONS:
Strong administrative skills including proven expertise with the Microsoft Office Suite functions such as Outlook, Word, and Excel. Experience with PowerPoint and general database entry preferred. Must be a team player, highly organized, detail oriented, energetic, and self-motivated. Must have the ability to multi-task and set priorities in a flexible manner to address changing needs. Ability to be discrete and confidential regarding work issues is essential.

EDUCATION and/or EXPERIENCE:
Bachelors degree required, with some office experience required. Individuals with prior experience working with executive level or senior management staff are encouraged to apply.

SALARY: Low 30's.

LANGUAGE SKILLS: Excellent oral and written communication skills, good working knowledge of the English language, and ability to craft readable, user-friendly letters, reports and other documents.

MATHEMATICAL SKILLS:
Basic math skills required.

REASONING ABILITY:
Must show good judgment and logic. Also must be able to competently handle potentially controversial issues and situations with total confidentiality and professionalism.
