OPERATIONS ASSOCIATE - GI Endoscopy
General Overview Under the general direction of the Operations Manager, the Operations Associate (OA) provides administrative support to unit-based and hospital-wide clinicians and staff in a high-volume pediatric outpatient care unit (primarily), functioning as the liaison between the patient, visitors and the clinicians. The OA is expected to effectively organize priorities, complete tasks on time and to manage confidential patient information. The OA is responsible for partnering with nursing to coordinate the day-to-day patient flow including communication to key players regarding patient admissions, discharges and transfers. The OA is expected to provide outstanding services for every customer interaction. Major Duties 1.0 Communication and Coordination: 1.1 Greets and interacts with pediatric patients, families, visitors and coworkers in person and via telephone. Responds to and/or triages requests. 1.2 Receives, prioritizes, organizes and manages information at the central nursing station, and throughout the unit: ¿ Facilitates effective communication both directly and through utilization of communication tools- including telephone, paging, patient call system, fax, and computer. ¿ Maintains accurate and timely information about admissions, discharges and transfers to facilitate efficient patient throughput. 1.3 Supports processes related to the securing of patient belongings and valuables. 1.4 Schedules consults, tests, procedures, patient transport to other departments. 1.5 Assembles admission packets for incoming patients. 1.6 Maintains patient confidentiality at all times per HIPAA and other guidelines. 2.0 Management of the Patient Record: 2.1 Assembles patient chart. 2.2 Select corresponding procedural forms, consent forms, universal protocol form, medication list, nursing assessment for chart preparation. 2.3 Prints Pedi Phone Call Assessment Note from LMR. 2.4 Prints patient labels using Zebra printer. 2.5 Files medical record in designated location. 2.6 Maintains patient records for ready access and in compliance with hospital standards for: ? Order, completeness, integrity, confidentiality and security. 2.7 Facilitates documentation associated with patient admissions, transfer, referral and discharge. 2.8 Facilitates efficient and accurate documentation required for reimbursement. 3.0 Environment of Care: 3.1 Contacts ancillary service departments to obtain equipment, services and supplies; tracks status and location; uses designated process for identifying and facilitating repairs. 3.2 Promotes responsible management of supplies, equipment, materials and services. 3.3 Orders, receives, unpacks and stocks unit supplies. 3.4 Monitors inventories and notifies OA and OM before supplies fall below par levels. 3.5 Assists in maintaining compliance with Environment of Care Standards. 3.6 Maintains cleanliness and order of work space. 4.0 Self Development and Participation: 4.1 Collaborates with the Operations Manager to identify and meet needs for continuing education. 4.2 Completes required training in a timely manner. 4.3 Attends/views in-services to remain current with changes in policies, procedures and practices. 4.4 Participates in and supports quality and process improvement initiatives. 4.5 Participates in the orientation of all staff. 4.6 Adheres to hospital, departmental and unit-based guidelines. 4.7 Willingly performs other tasks as necessary. Qualifications ? High school diploma or GED required; Associates degree or higher preferred. ? Previous customer service and experience in a health care setting strongly preferred. Previous employment demonstrating the skills and abilities listed above. ? Proficiency with MS Windows and strong keyboard skills preferred. ? IDX experience preferred. ? Dynamic and Metavision software experience preferred. ? Outpatient setting within a hospital. ? Able to sit for extended periods of time; Able to routinely lift or move items. Shift Day Shift including Saturday rotation.
