Job Summary: The Operations Administrator position is responsible for supporting the tactical logistics of the Care Delivery BIO's Operations function, including resource coordination, event planning, cross-location/cross-BIO operations and ad-hoc executive support, as required. Essential Functions: The successful candidate will be responsible for the following activities: Operations - Providing cross-location/cross-BIO operations support, as defined by Director of Operations (may include maintaining floor plans, tracking assets for telecommuters, serving as SME for embarks/disembarks, etc.) - Assisting in regular and ad-hoc reporting (e.g., biweekly status, space and equipment utilization, etc.) - Providing as needed executive support on special projects, including meeting coordination, documentation preparation and logistics - Acting as a representative of the CD BIO in dealing with other KP executives as well as external vendors - Serving as RPM Gatekeeper (maintaining Business Services timeplans, setting up timesheet approval rights, etc.) - Serving as TIME Administrator (setting up TIME groups and approvers, training new TIME users, acting as backup approver) - Developing and maintaining process documents and job aids People Strategy - Leading the CD BIO Events committee - Driving the coordination and execution of large scale, complex events - Developing and maintaining the events calendar, budget and resource plan, including coordination with vendors REQUIRED COMPETENCIES - Strategic/Systems Thinking: Understands the connections and relationships across functions and entities for both internal and external constituencies; thinks appropriately into the future. - Service Orientation: Focuses and aligns actions and decisions on ways to enhance service. - Decisiveness: Makes timely and effective decisions. - Communication: Sends the right messages and information to appropriate audiences verbally and in writing; keeps people informed; adapts communication style to the needs of the audience. - Confidence/Initiative: Has foresight and asserts a willingness to perform in challenging situations; learns from mistakes and from feedback from others. - Cultural Competence: Considers and uses cultural dimensions in workforce planning and development, and the formulation and enacting of business strategies. - Personal Development: Is open to and seeks new learning opportunities; embraces and responds to feedback from others.
