Operations Coordinator

 

Coastal Cocktails Inc., an innovative global cocktail mixer company in the United States, has an immediate opening for a Operations Coordinator, with experience to join the our team.  Our product is a proven success in large retailers on both a national and international level.

 

Qualifications:

·         High School Diploma (Associates Degree preferred)

·         5 Years experience in retailer, customer service, and /or sales administration

·         Basic logistic knowledge; IE: understanding vendor manuals, creating shipping documents (BOL/Packing List), routing shipments, etc.

·         Detailed and accuracy oriented with strong multi-tasking abilities and excellent follow-through

·         Experience with the Microsoft Office Suite – Word, Excel, Outlook, etc. a must

·         Experience with Microsoft Great Plains preferred

·         Experience with EDI Merchant Systems a plus

·         Experience in International Logistics a plus

·         Excellent telephone etiquette and protocol

 

Specific Responsibilities:

·         Coordinate and execute new customer setup, order entry, and sales inquiries.

·         Process customer orders in EDI or Great Plains systems.

·         Manage and route shipments.

·         Respond to inbound customer inquiries for information such as ship dates, or other existing order questions.

·         Track packages for customer call-ins. Email or fax delivery confirmations. Quote shipping and freight charges for customers and sales reps.

·         Make outbound calls to obtain authorizations to proceed with orders to customers and to resolve order issues to customer satisfaction.

·         Communicate with sales staff to verify all information is correct and clear up any missing information or inconsistencies on orders.

·         Maintain and update weekly shipping report

·         Maintain accurate customer records in all software systems, CRM, accounting and other programs as trained.

·         Within 90 days of start date learn customer levels, price guide, product line, imprint specifications, production guidelines and shipping information in order to provide superior customer service.

·         Provide back-up support to other office personnel as directed
