Order Administrator

My client, a rapidly expanding IT security provider is now seeking an addition to their finance function. The role will consist of the below.

Sales Orders
Accepting orders via email and fax
Entering orders into the ERP system
if goods are on stock shipping/ if goods are not in stock orders will need to be placed with vendors
Inform customer/ our sales person by phone or email about order status including delays
Invoicing of goods shipped
Answering standard inquiries such as price and licensing requests, stock availability, status on orders
License and license key delivery for software

Purchase Orders
Place purchase order with vendors
Ordering hardware and making sure to combine orders (even for stock) to keep purchase freights low
Make suggestions to the management on what to order for stock
Inspection of the incoming shipments from vendor
Entering goods into the ERP system and comparing it with the purchase order
Controlling the vendor invoice and verifying the quantity and purchase price
Signing invoices to confirm everything is fine and handing the signed invoice over to accounts team
Keeping control of open purchase orders
Call/email/phone the vendor:making sure you of order status
Before the end of the month liaise with vendors to make sure you will get all open orders so that shipping is within the month.

Customer Data
Updating data on ERP system e.g. Credit limit
Checking credit limit of customers through debtor insurance
Checking if a new customer is a legitimate IT reseller

Stock/Logistic
Print shipping notes / pack goods / deliver it

Experience:
1 year+ experience in a comparable position, specifically in the sales order processing using NAVISION
Good MS Office skills, especially Excel

Personal qualities:
Strong team player and problem solver able to work under pressure whilst wanting to contribute ideas to improve the business. Must have a good attitude towards the role and the people in team.
